    USAging Overview

    USAging is the national association representing and supporting the network of Area Agencies on Aging and advocating for the Title VI Native American Aging Programs. Our members help older adults and people with disabilities throughout the United States live with optimal health, well-being, independence and dignity in their homes and communities.

    Our members develop, coordinate and deliver a wide range of home and community-based services, including information and referral/assistance, case management, home-delivered and congregate meals, in-home services, caregiver supports, transportation, evidence-based health and wellness programs, long-term care ombudsman programs and more.

    USAging is dedicated to supporting the success of our members in supporting the nation's growing population of older adults, people with disabilities and caregivers through advancing public policy, sparking innovation, strengthening the capacity of our members, raising their visibility and working to drive excellence in the fields of aging and home and community-based services.

    Job Summary

    The Program Associate is a key supportive player to critical program areas at USAging. This role will support USAging projects related to social engagement and caregiving. The ideal candidate will be an efficient time manager who is organized, responsive, detail-oriented, forward-thinking, a planner and a team player able to balance multiple projects daily.

    Reports to: Program Director/ Assistant Director

    Duties and Responsibilities

    • Utilize project management tools, including Excel, to organize and manage program activities
    • Support project website(s), including working with vendors and funders to ensure websites are properly maintained
    • Develop and implement online surveys in collaboration with team members
    • Draft, edit and work with team members to produce a variety of written products, including email blasts, fact sheets, meeting summaries, survey reports, presentations and other materials
    • Coordinate webinar logistics, including selecting dates, scheduling planning calls, coordinating with speakers, posting webinar resources and recordings online; serve as technical lead on Zoom webinars.
    • Coordinate scheduling, logistics and note-taking for frequent meetings and events
    • Monitor communications channels, including project email inboxes, and maintain contact lists
    • Communicate clearly in writing and via telephone/Microsoft Teams/Zoom with USAging members, partners, funders and other stakeholders
    • Work with vendors and partners to facilitate an efficient process for the administration and completion of projects
    • Provide administrative support for conferences, exhibits and other activities
    • Serve as a back-up to the USAging Office Manager, as necessary, and cross-train on USAging office systems

    Requirements:
    • Bachelor's degree required plus at least one year of relevant work experience
    • Excellent organizational skills, attention to detail and follow-through
    • Excellent oral and written communications skills
    • Ability to plan ahead, meet deadlines and balance multiple projects
    • Ability to keep track of details and timelines and effectively communicate the most relevant information to supervisors/colleagues
    • Excellent skills with Microsoft Office, particularly Word, Excel and PowerPoint
    • Experience with Constant Contact or other email platforms, Survey Monkey or other survey platforms, and webinar/communications broadcast platforms is preferred
    • Experience with website maintenance platforms is preferred
    • Quick thinker with demonstrated problem-solving and strong interpersonal skills
    • Must have an all-hands-on-deck attitude and a willingness to pitch in when needed
    • Passion for USAging's mission of helping older adults age in place and maintain their health and independence for as long as possible

    WORK HOURS AND LOCATION

    Candidates outside of the Washington, DC area will be considered. The successful candidate will be able to occasionally travel to member conferences and always attend the USAging Annual Conference and Tradeshow each summer for up to six days.
