    Salaried (Exempt)


    Pay Rate/Range:
    $60,000-$75,000 annually

    Benefits Offered:

    After employed for 90 consecutive calendar days, eligible for paid Sick Time, as well as participation in the Group Health, Dental, and Vision and 403(b) Plans (with a Company match on the 403(b) Plan contribution after 24 months).

    After employed for six (6) months, eligible for paid Vacation Time.


    POSITION PURPOSE:
    The Clinic Practice Manager is a full-time position requiring a minimum 37.5 hour work week.

    This positionworks closely with Harmony Healthcare (HHO) office staff and upper management to ensure seamless operations of all front office tasks.

    This position also plays a key role in office operations by performing various administrative and clerical tasks, in addition to many times being the first point of contact for patients.


    ESSENTIAL FUNCTIONS:

    • Accurately learns HHOs EMR system and is able to operate additional software programs used in the office such as Microsoft Outlook/Excel/Word, DocuSign, Spruce Cares, etc.
    • Promotes excellent customer service by all staff personnel.
    • Supervises patient appointment scheduling, registration, transportation, scheduling financial counseling, medical records, data entry and processing, and laboratory order processing.
    • Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
    • Accurately enters and verifies all patient information into the EMR system, including insurance information and demographics.
    • Coordinates day-to-day operations of the practice including development, implementation, and maintenance of office policies and procedures.
    • Interviews, hires and trains a productive medical office team and conducts performance
    reviews.

    • Maintains adequate inventory and stock of all office, medical, and testing supplies.
    • Protects patients rights by maintaining confidentiality of medical, personal, and financial information by following HIPAA guidelines.
    • Promotes and practices HHOs mission and values and follows its policies, processes, and procedures.
    • Works effectively and professionally with a diverse population treating all staff, providers, and patients with the utmost respect at all times.
    • Participates in all required training and certifications including, but not limited to: HIPAA, Biohazardous Waste, CPR/BLS, 500/501 Rapid HIV testing, and Rapid HCV testing.
    • Performs rapid HIV and HCV testing when needed and helps to ensure all documentation is scanned and stored according to Florida Department of Health guidelines.
    • Attends and assists patients and providers during community outreach testing events. Also may be required to attend other community outreach events such as GayDayS, Pride Events, etc. Advance notification of dates/times will be given to allow for proper scheduling. On these dates, work times may be modified to ensure employees do not exceed budgeted hours.

    CORE DUTIES AND RESPONSIBILITIES

    • Perform Rapid HIV and HCV testing, as needed, after completion of training program.
    • Regular, dependable attendance and consistent satisfactory or above job performance.
    • Other duties, as assigned.
    EXPERIENCE AND MINIMUM QUALIFICATIONS (Preferred unless indicated as a Requirement)

    • Prior work experience with the HIV/AIDS community.
    • Two (2) - three (3) years in a supervisory or management-level position.
    • Two (2)
    three (3) years in a medical office setting. (Required)

    • Vaccinations and immunizations recommended for healthcare workers by the Florida Department of Health, including; COVID-19 vaccination and Mpox vaccination.
    • Excellent English oral and written communication skills to include grammar, punctuation, and spelling proficiency ( Required
    • Proficiency with Microsoft Office products (Word, Excel, Powerpoint, Teams, etc.). ( Required
    • Proficiency of other languages welcomed (particularly Spanish and Creole).
    • Excellent managerial and supervisory skills.
    • Extensive knowledge of operations and production management.
    • Ability to interpret financial data as needed to set production goals.
    • Experience with Apple products and apps.
    • Excellent organizational skills and attention to detail.
    • Excellent written and verbal communication skills.
    CERTIFICATIONS, LICENSES AND REGISTRATIONS(Preferred unless indicated as a Requirement)

    • High School Diploma or G.E.D., or an advanced degree in a healthcare related field or business with office management focus. ( Required
    • Valid FL Drivers License and access to reliable transportation (with current vehicle registration and insurance). ( Required
