    About BGCH

    The after-school hours have become a critical time for youth – a time when many children in our communities are left to fend for themselves without positive adult supervision.

    Overview of the role
    The Grants and Data Manager has two major areas of responsibility:

    1)

    Grants Management:

    To manage Boys & Girls Club of Hawaii's (BGCH) portfolio of all grants received, including government grants, by overseeing the financial, reporting, outcome requirements, and record-keeping side of the grant-making process, working closely with finance staff, program staff, and senior leaders to ensure compliance with all conditions and deliverables of grants and accurate and timely financial and programmatic reporting.

    2)

    Data Management:

    To advance BGCH's efforts to become more data-driven in its approach to decision-making, program assessment, and identifying service delivery options through the development and management of data systems that capture, utilize, and interpret meaningful data.

    Responsible for collection and analysis of data; establish and maintain a mechanism for collecting and gathering data to better assess the impact of interventions over time, and provide data needed for organizational and grant reporting.


    Because the incumbent is a vital connector for the finance, development, and program staff, s/he must possess the ability to see and understand all points of view, must have robust collaboration and problem-solving skills, and must possess/develop knowledge of compliance issues as well as key best practices.

    You have a Bachelor's degree in business administration, youth development, sociology, education or related discipline with a strong background in data analysis and statistics preferred.

    One to three years of experience, including working with and managing large databases. Requires basic knowledge of both quantitative and qualitative data.

    Advanced proficiency in Microsoft Excel required and superior ability to utilize full Microsoft Office Suite to manipulate and analyze data.

    Needs little to no direction to get things done.

    The position requires a highly organized, detail-oriented person comfortable with developing dashboards and displaying data relevant to a wide-range of users and audiences utilizing both quantitative and qualitative analysis.

    What you'll do
    Grant Management (Duties include but are not limited to):
    Serve as resident expert on grant compliance and interpretation and all applicable regulations, policies, and procedures. Interpret applicable regulations and translate into operational policies and procedures as required.
    Provide ongoing training to staff as it relates to grants administration and organizational policies and procedures as required.
    Provide data for reports, and ensure financial and programmatic reporting deadlines are met.
    Work in partnership with the finance function to manage the invoicing and tracking of expenses for BGCH's grants portfolio.

    Design and execute grant monitoring and reporting processes, including identifying and discussing implications of non-compliance and providing technical assistance and training as needed.

    Serve as administrator (in communication with grant writer) for grants management system.
    Maintain records of database set-up and any reporting requirements. Conduct periodic evaluations to re-assess and re-evaluate internal reporting practices.

    Data Management (Duties include but are not limited to):
    Managing the ongoing process of data collection, data entry, and analysis.
    Provides information and analysis for the purposes of program development, policy advocacy, and strategic leadership.
    Recognizes patterns and trends and translates them into powerful stories to supplement grants and development materials.
    Mines data from National Youth Outcomes Initiative, Key Performance Indicators, attendance data, and other sources (internal and external).
    Verifies the accuracy and validity of data entered in databases.
    Help ensure data integrity; research and recommend changes to improve data quality.
    Provide database/data entry/reporting training to staff as needed.
    Produces charts and graphs summarizing data for reports and presentations.

    Work closely with Director of Operations, Executive Team and Club management and staff to identify program deliverables / scope of work and train clubhouse staff to enter related data into database system.

    Create, test and train data work flow charts to assist staff in understanding processes.

    Actively participate in organizational planning processes to understand organizational and programmatic goals, data points required to determine goal attainment, how the data will be collected and tracked, who is responsible for tracking data, and what reports must be delivered and when.

    To ensure consistency of data, coordinate with teams and communicate what they should be reporting on and when.
    Help ensure timeliness of all data entry. Ensure data entry deadlines are met and communicate potential for missed deadlines or missing data to applicable leadership.
    Serve as administrator for program database.

    Maintains the structure and content of data for the organization including data fidelity and maintaining databases such as Grant hub, KidTrax, etc.

    Produces monthly, quarterly, semi-annual and annual grant reports as needed.
    Oversees quarterly and annual outcome monitoring surveys and analysis.


    Physical and Mental Requirements:


    Ability to carry out detailed and complex instructions; ability to BGCH with coworkers and public by telephone and in person as a member of a team to provide services to external and internal customers; ability to perform a variety of duties and prioritize tasks to meet organizational needs.

    Ability to clearly and concisely exchange ideas, information and guidance in person, by telephone, email, fax or correspondence.


    Physical requirements include:

    sight, hearing, sitting for four or more hours a day, standing for one to two or more hours a day, stooping; skills essential for successful communications include speaking, writing and reading comprehension.
