    Executive Assistant

    Hybrid position (On-site first 3 weeks and then onsite 2-3 days a week)

    Support the AVP of the Vaccines and infectious disease (VIDD) division

    • Calendar prep/management, schedules, preparing agendas, PPT presentations
    • Email management with sensitive information, redirecting people to the right person
    • Event management experience and logistics
    • Budget support is a plus
    • Comfortable working with c-suite execs
    • Could be other admin roles prior to EA adding up to 3-5 years
    • Sense of humor

    Independently manages all administrative operational activities in support of our division. Any administrative operational problems which occur are managed by the Administrative Manager, in partnership with the division Associate Vice President. Exceptional skills and knowledge are applied in managing administrative operational activities and in developing materials. Develops and implements procedures related to division operation and administration. Independent judgment is used in engaging with senior scientific staff, running programs, and developing communications.

    The scope of responsibility for the VIDD Administrative Manager includes managing a large, administratively complex division made up of three complex programs, modest supervisory responsibility, responsibility for a large overall operating budget; direct report to the Associate Vice President (AVP).

    Responsibilities:

    • Senior-level calendar support and management for the Associate Vice President's daily calendar as well as most division-led events, and AVP-led meetings.
    • Lead and coordinate virtual and in-person meetings and events including scheduling, agenda preparation, virtual webinar/meeting setup, conference room reservations, AV and IT coordination, and catering as relevant for AVP-led meetings, Steering Committee meetings and Executive Committee meetings.
    • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action/attention required is addressed in a succinct and timely manner.
    • As an independent leader, serve as the primary division Administrative and Operations lead for VIDD-wide activities and events.
    • Coordinate and prepare division-wide communications in partnership with the Associate Vice President and Program Operations Directors as requested.
    • Design, implement and report results for VIDD surveys generally via SurveyMonkey.
    • Develop and monitor specific programs within the division budget, ensuring that all financial allocations and expenditures are in accordance with fiscal guidelines.
    • Develop and administer policies, procedures and communications related to division operations and administration.
    • Serve as division liaison, representing the division to other organization departments, funding sources, affiliated individuals or institutions, and outside organizations.
    • Assist the Division Program Manager in coordinating space and equipment planning and utilization, evaluating current division needs, overseeing the acquisition of space and equipment, anticipating and planning for future needs.
    • Help coordinate faculty recruitment and merit review process, faculty search committee, monitoring selection process, coordinating annual merit reviews.
    • Plan and attend committee meetings and document proceedings.
    • Lead and monitor committee activities, ensuring objectives have been met within designated time frame and coordinate follow-up activities.
    • Lead and coordinate seminars, lectures, and conferences, planning schedules, securing space and speakers, attending events and monitoring activities.
    • Coordinate the production and distribution of special and recurring reports.
    • Perform other responsibilities as required.

    Qualifications:

    MINIMUM QUALIFICATIONS:

    • BA/BS or equivalent experience required, MA/MS a plus.
    • Minimum of five years of administrative management experience in a research or academic setting.
    • Excellent written and verbal communication skills.
    • Supervisory skills, budgeting experience.
    • Must be very experienced with the Microsoft suite of tools, with an emphasis on Outlook, Excel and PowerPoint.
