Summary We are seeking a highly organized and proactive individual to join the Business Operations team. As an Executive Assistant, you will be a crucial support figure for executives, senior management, or other high-ranking individuals within the organization. Your role involves providing administrative assistance, managing schedules, coordinating meetings, handling communication, and ensuring smooth operations within the executive office. Responsibilities
1. Calendar Management: Maintain and organize complex calendars, including scheduling appointments, meetings, and conferences, while prioritizing conflicting demands.
2. Communication: Act as the primary point of contact for internal and external stakeholders, managing emails, phone calls, and correspondence on behalf of the executive.
3. Travel Coordination: Arrange travel itineraries, including flights, accommodations, and transportation, ensuring efficient scheduling and seamless logistics.
4. Meeting Coordination: Plan and coordinate meetings, including preparing agendas, booking venues, arranging catering, and distributing relevant materials.
5. Documentation and Filing: Manage and organize documents, reports, and files, ensuring accuracy, confidentiality, and easy accessibility.
6. Information Management: Conduct research, compile data, and prepare presentations or reports as required, utilizing various software tools and databases.
7. Task Prioritization: Assist in prioritizing tasks and managing workflow to ensure deadlines are met and objectives are achieved.
8. Support Office Management: Oversee the smooth operation of the executive office, including ordering supplies, maintaining equipment, and managing logistics.
9. Relationship Management: Build and maintain positive relationships with internal teams, external partners, clients, and other stakeholders.
10. Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
11. Team Support: Assist with other duties as required.
Skills & Experience
