    Position Summary:

    The Front Office Coordinator plays a vital role in assisting the Human Resources Director to ensure the smooth and efficient operation of all office functions. This position is responsible for maintaining consistent front desk coverage, managing visitor and vendor access, and providing administrative support to the executive team. The ideal candidate should exhibit initiative, sound judgment, and strong organizational skills.

    Key Responsibilities:

    • Screen and direct incoming calls.
    • Welcome and direct visitors and vendors.
    • Prioritize tasks independently and identify situations requiring immediate attention.
    • Manage vendor relationships.
    • Handle timekeeping in ADP.
    • Review and approve daily timesheets for staffing agency employees.
    • Provide translation services for various communications.
    • Coordinate and set up conference rooms for meetings, including managing lunch orders.
    • Maintain various database spreadsheets, including daily labor reports and employee purchases.
    • Offer general office administrative support, including handling mail, scanning documents, and managing office supplies.
    • Assist in organizing employee appreciation events.
    • Support the executive team with various projects and administrative duties.

    Minimum Qualifications:

    • High School Diploma or GED.
    • Proficiency in English and Spanish, both orally and in writing.
    • Availability to work Monday to Friday, 7:00 AM to 4:00 PM.
    • Ability to perform primary responsibilities satisfactorily.
    • Associate degree in business administration or related discipline. - preferred
    • Two to Three years of relevant administration experience.

    Physical Demands:

    • Ability to perform various tasks such as sitting, standing, talking, and hearing.
    • Capability to handle repetitive motions, keyboard, and ten-key tasks.
    • Physical ability to lift and relocate objects up to 25 lbs.
