    Background

    ECHO's Operations Support Coordinator (OSC) plays a vital role in ensuring ECHO's programs efficiently operate at full capacity and remain "audit-ready". Reporting directly to the Chief Executive Officer (CEO), this position manages ECHO's Intake process, conducts regular audits to identify missing items, maintains documentation through ECHO's electronic health record (EHR) system and file storage systems, and provides time and project management assistance to the Program Managers and CEO.

    Job Duties

    • Intake Management:
      • Manage ECHO's intake process to ensure Day Support and Group Supported Employment (GSE) Programs are at full capacity.
      • Design and present Information Sessions to educate potential participants about ECHO and its benefits.
      • Guide potential participants through the intake process, addressing their questions and concerns and ensuring all necessary paperwork is submitted.
      • Analyze intake process metrics to identify bottlenecks and opportunities to boost conversion rates.
      • Coordinate with PMs to ensure efficient capacity-to-staffing planning.
    • Program Data Management:
      • Conduct regular audits of program documentation to identify missing items (paperwork, Individual Support Plans (ISP), quarterly reports) in Day Support, GSE and Individual Supported Employment (ISE).
      • Complete audit findings and deliver reports to the CEO and Program Managers for resolution, ensuring timely completion of necessary documentation.
      • Maintain program documentation by overseeing the scanning and uploading of paperwork into the EHR system and file storage systems.
      • Collaborate with on-site staff members to facilitate the scanning and uploading process, providing guidance and support as needed.
    • Data Analysis:
      • Identify and build systems to track key metrics specific to the intake process and EHR system management.
      • Analyze data to identify trends and correlations related to intake efficiency and EHR data management.
      • Work with cross-functional teams to implement data-driven solutions aimed at enhancing operational efficiency.
    • Enhanced Data Management:
      • Work with Program Managers, QIPI and other departments as needed to ensure data quality, minimize errors, and address potential audit concerns.
      • Create and implement a streamlined system for on-site staff to scan documents to OSC for easy upload to designated locations.
      • Maintain a centralized master list of participants, including paperwork, ISP, and quarterly report deadlines. Share timelines with relevant Program Managers and Program Coordinators.
      • Collaborate with the CEO to send monthly reminders to Program Coordinators / Program Managers regarding participant paperwork and report completion.

    Minimum Position Requirements

    • Relevant bachelor's degree or three years of related experience.
    • Experience in program operations, project management, or a similar role preferred.
    • Proven ability to analyze data, identify trends, and develop solutions to improve program efficiency.
    • Strong communication and interpersonal skills, with the ability to build rapport with staff at all levels.
    • Excellent organizational skills and the ability to manage multiple tasks simultaneously.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Experience in provision of services to persons with disabilities preferred.
