- Organize and maintain calendars for various team members to ensure all appointments are correctly and promptly added
- Handle all tasks for new initial consultations
- Perform general operational tasks including copying, scanning, mailing, assisting drop-in clients, filing paperwork (and electronic communications), handling voice mail messages, and creating new client physical and electronic files
- Order office supplies and coordinate with vendors
- Prepare client invoices
- Ensure the highest level of client satisfaction by responding promptly to all client calls, questions, or inquiries.
- Minimum of 3-5 years customer service or administrative experience
- AA or BA/BS is preferred
- Personable, welcoming attitude, people oriented and enjoys being on the phone
- Loves technology and learning new software; navigates computer programs with ease
- Thrives in a fast paced environment
- Excellent communication skills (in-person, on the phone, and in writing)
- Ability to quickly and accurately finish detailed work
- Ability to organize, monitor, and track numerous ongoing and one-time activities
- Ability to learn and follow procedures and initiative to ask questions
- Proficient in Microsoft Office applications
- Team player with a great sense of humor and a desire to learn and grow
- $22-$25 hourly
- Our office is open Monday – Thursday and an average workweek will vary but is generally 32 to 36 hours per week. Occasional Fridays, no weekends.
- Office hours are 8:30 – 5:00 P.M. Start and End times are somewhat flexible and may reflect personal needs.
