    The Executive Administrative Assistant is a highly visible position responsible for supporting the CEO and CFO of PETNET Solutions, Inc.

    Duties will primarily include calendar management, travel, expense management, presentation creation support and other duties as needed.

    This position requires a wide range of experience in providing administrative support to senior level executives, and their managers or groups.

    This role will predominantly work in-office located in our Knoxville, Tennessee, which is located in the Eastern Time Zone. Additionally, there may be limited travel requirements to business-related conferences 1-2 times per year.


    Your role:

    • You will provide high-level executive administrative support.
    • You will be responsible for producing, proofing, and editing complex correspondence.
    • You will compile and analyze complex information for inclusion in reports and preparing presentations.
    • You will process highly confidential and critical information.
    • You will be responsible for maintaining filing systems, preparing and sorting mail, and pick up and distribute of information.
    • You will be responsible for processing forms, making copies, preparing faxes, and maintaining and ordering office supplies.
    • You will provide assistance with departmental budget tracking and resolving discrepancies through research and investigation. May assist with specialized departmental tasks.
    • You will act as a point of contact for facilities and IT helpdesk issues.
    • You will process expense reports and purchase requisitions and follow up on payment of reimbursements/invoices as needed.
    • You will maintain calendars, set up appointments, schedule travel arrangements, answer phones, provide information to callers, and take messages.
    • You will organize meetings, reserve conference rooms and equipment, and coordinating catering service.
    • You will act as an information resource on organization policies and procedures.
    • You will coordinate special projects and department activities.
    • You will assist with timecard support as needed.
    • You will complete contract and PMD signoffs after email approvals.
    • You will assist with customer visits at the corporate office and coordinate pharmacy tours coordination with the Operations Dept.
    • You will maintain email distribution lists for the PETNET organization.
    • You will assist Contract Manufacturing Organization (CMO) partner meetings.

    Required Skills, Education and Experience for this position:

    • Previous executive administrative assistant experience, 7+ years.
    • Ability to thrive in a fast paced, changing environment with multiple priorities.
    • Senior knowledge in Microsoft Office programs, calendar management of expense reporting.
    • Highly organized and detail oriented with ability to interface with personnel at all levels.
    • Ability to perform with only general instruction on new assignments and with minimal direction.
    • HS diploma or equivalent required, 1-2 years of vocation/technical training or an Associate's degree required. Bachelor's degree preferred.
