    The Integral Counseling Psychology (ICP) Program is a 60-unit graduate degree program that prepares students to take the MFT and LPCC licensing exams in the state of California.

    As part of the degree requirements students must complete a yearlong practicum placement in a clinic specializing in mental health counseling.


    ICP has a Day program where students attend classes throughout the week, and a Weekend program (ICPW) where students come to CIIS campus for intensive classes five weekends a semester.

    The ICP program is searching for a full-time Weekend Program Coordinator to:

    (1) Manage and oversee all administrative aspects of the weekend program and serve as a key member of the ICP Team.

    (2) In collaboration with the ICP Program Chairs and ICP Program Director, this person serves as the main point of contact for the weekend program students, manages the day to day coordination, scheduling, problem-solving and administrative processes to ensure the ICPW program operates smoothly and effectively, addressing the needs of students, faculty and institutional requirements, to make sure issues that arise are promptly and thoughtfully addressed.

    (3) In collaboration with the ICP Program Chairs and ICP Program Director, coordinates, oversees, and implements ICP Day and ICP Weekend student retreats.

    (4) In collaboration with the ICP Program Director, ICP core faculty, and the Admissions Office, coordinates our Admissions interviews


    ESSENTIAL DUTIES AND RESPONSIBILITIES
    Serves as main program contact for incoming student, faculty and institutional inquiries for the ICPW program.

    Acts as liaison between the ICPW Program and other CIIS departments, e.g., works closely with Admissions, Registrar, Financial Aid, Office of Diversity and Inclusion, and Dean of Students' Offices regarding enrollment, registration, retention, and resolving problems as they arise; introduces discussion of ICPW issues and needs at institutional meetings as needed.

    Orients new ICPW students, answers general student advising questions about the weekend program, and plans/helps facilitate the annual new student orientation.

    In collaboration with the Program Director, assists with Weekend program course scheduling, including scheduling course dates and times (with faculty and with the Program Director), room scheduling, and collecting/distributing curriculum information.

    Coordinates our Admissions interviews in collaboration with the Admissions Office, Program Director, and ICP core faculty.

    Assists/advises students and faculty as needed, regarding program information, deadlines, responsibilities, and overall CIIS and ICP program requirements and procedures.

    Coordinates, oversees, and implements ICP Day and ICP Weekend student retreats, in collaboration with Program Director.

    Serves as on-site point person during ICP Weekend program courses (5 weekends each semester) and at the 7-day annual retreat in August.

    In collaboration with Program Advising Manager, serves as ICP Day and Weekend program representatives at Admissions events (Program Information Sessions and Open Houses).

    In collaboration with the ICP Advising Manager, maintains Weekend program student records and rosters, and tracks ICPW enrollment status each semester.

    Works with Field Placement Office and Advising Manager to support practicum processing and placements to students that live out of the local area.

    Attends regular program and institutional meetings, ICP events and faculty/staff retreats and facilitates discussion of ICPW items at ICP program meetings.

    Manages ICPW, ICP, MyCIIS and Canvas program pages, updates content for website, and collects / posts course syllabi.
    Supervises ICPW student worker to assistance with administrative tasks as needed.
    Provides administrative support for Program Chair, ICP Senior Program Manager, faculty, and ICP faculty committees as needed.
    Other duties as requested by ICP.

    Collaborates with the MCP Director and the MCP Program staff on MCP projects as needed and to endure the efficiency of all MCP administrative tasks.


    Job Requirements:

    MINIMUM QUALIFICATIONS
    Minimum of two years of high-end executive assistance/administrative experience.
    Bachelor's Degree required.

    The ability to effectively and sensitively communicate verbally and via written correspondence; ability to interact with students, faculty, staff, and the outside community with diplomacy and care.

    Demonstrated commitment to diversity and cultural competency; ability and competence to work with a diverse student, faculty and staff environment.

    Understanding of and experience with graduate academic administration, confidentiality and privacy issues; prior experience working in higher education desirable.

    Effective office management skills, ability to work both independently and as part of a team; detail-oriented self-starter who can identify program needs and take initiative to work together to address them.

    Knowledge of the BBS/MFT/LPCC licensing rules and process desirable.
    Proficiency with all Microsoft Suite and Acrobat/PDF products; experience with Jenzabar or other ERP (enterprise resource planning) tools desirable.
    Must have weekend, retreat, and occasional evening availability.


    ENVIRONMENTAL DEMANDS


    Duties are primarily performed in an office environment at a desk or computer terminal, typically, Monday through Friday, and one weekend day per month during the academic year.


    Additional Information:

    WAGES AND BENEFITS
    The compensation for this non-exempt, full-time position is between $28.50 and $30.00 (hourly) depending on qualifications and experience.
