- Support 11Alive's President and General Manager with managing schedules, calendaring, organizing external and internal meetings, taking and distributing notes, reservations and other duties as assigned.
- Act as supervisor for the station administrative assistant.
- Schedule and coordinate on-site meetings which may include handling presentation logistics, including room reservations, A/V equipment and physical handouts.
- Plan and coordinate station events and parties, including ordering meals and catering.
- Assist with coordinating travel and accommodations for station executives, visiting job candidates and corporate guests as well as for any emergency lodging for staff.
- Prepare and submit expense reports and travel arrangements.
- Manage travel card in Oracle and monthly purchasing card transactions.
- Act as project manager for the "Culture Committee" to create employee engagement through company events & initiatives.
- Manage and work with station's administrative assistant to order and manage office supplies, badges, and business cards as needed.
- Work with administrative assistant to help onboard new employees, including preparing I-9 documents and photo ID badges.
- Manage executive kitchen, conference room and storage closet including organizing supplies and making sure spaces are tidy and well kept.
- Understand and anticipate the needs of different departments and support each effectively, as assigned by general manager.
- BA/BS degree preferred but not required.
- 3-5 years' experience providing administrative support to a medium-sized organization.
- Knowledge of the MS Office suite (Word, Excel, PowerPoint) and the technical aptitude to learn new systems.
- Excellent written and verbal skills.
- Excellent interpersonal skills, self-starter needing little supervision, demonstrate consistent follow-through, judgment and time management skills.
- Strong attention to detail and organization with the ability to track multiple projects and deadlines.
- Positive, 'get it done' approach to the role. Interest in local news a plus.
- Demonstrated reliability, confidentiality and integrity.
