    Job Summary

    Leads and manages campus finance functions. Responsible for the completion, resolution, and review of various accounting and financial analysis projects to meet reporting requirements of the campus and the organization. Assists leadership with developing the budget and forecasting. Serves as the campus finance liaison and a trusted and influential member of the campus leadership team. Administers all financial and accounting procedures and practices for the campus to ensure strong internal controls and safeguard the assets of the school.

    Essential Responsibilities

    Campus Financial Planning & Analysis

  • Accountable for the financial health of the campus through timely and ongoing analysis of spending allocations to ensure that the financial objectives and commitments of the campus are met.
  • Establishes and refreshes the Campus five-year financial forecast to adequately resource the activities in the campus plan.
  • Identifies opportunities for resource optimization by using both external data points (i.e. benchmarking, leading practices, etc.) and internal analysis (i.e. trending, productivity ratios, etc.)
  • Responsible for understanding operating unit cost structure and key cost drivers and establishes and documents methodologies of analysis.
  • Works with campus leaders and provides guidance to align personnel resources with the campus' strategic mission and goals.
  • Financial Policies and Internal Controls

  • Interprets, monitors and administers organization and campus and enterprise policies and procedures processes and internal controls to assure compliance and recommends improvements for efficiency and effectiveness. Analyzes campus financial reports and FTE reports and assesses campus financial conditions and personnel status (i.e. FTE vacancies).
  • Oversees the efficient and fiscally prudent purchase of goods and services in alignment with approved budget and enterprise policies and procedures.
  • Seeks and recommends continuous improvement of systems and processes including internal controls.
  • Annual Budget and Monitoring

  • Applies independent judgement to provide recommendations and/or revisions to leadership for divisional budget allocations for the annual operating budget planning process.
  • Analyzes a variety of financial information to assess campus financial conditions and personnel status (i.e. FTE vacancies).
  • Provides accurate, timely, clear and meaningful financial reports to aid in leadership decisions. Alerts campus leaders of any abnormalities detected in the budget monitoring and provides strategies for detail analysis that would include forecasting and trends for consideration by the campus leadership team.
  • Prepares quarterly variance and forecasting in adherence to enterprise requirements. Prepare ad-hoc reports for the purpose of documenting activities and issues, meeting compliance requirements, and/or providing supporting materials for requested actions.
  • Ensures that financial records are properly maintained and accessible.
  • Monitors allocations and expenditures, and related financial activities for the purpose of ensuring that allocations are accurate, expenses are within budget limits and/or fiscal practices are followed.
  • Education Support Services and Information Technology

  • Manages the revenue stream for the campus including tuition and fees, financial aid, and other recoveries.
  • Regularly engages with our ʻohana to minimize delinquencies by educating and negotiating with regard to delinquencies and assisting with financial assistance.
  • Manages the campus technology inventory and planning by working with campus leaders to ensure technology resources are available to meet educational needs. Identifies new opportunities, technologies and systems to maximize the budgeted allocation.
  • Collaborates with enterprise-level departments to ensure the campus' interests are represented in alignment with the campus goals, alignment, direction, and planning efforts.
  • Prepares and monitors vendor bids and contracts while coordinating the ordering for approved purchase requests. Schedules delivery of merchandise, receives merchandise, distributes, and follows up on missing or incomplete orders.
  • Coordinates and organizes tagging of equipment for inventory. Provides general office assistance to campus administrators, staff, parents, etc. Performs other duties as assigned or requested.
  • Entrepreneurial & Strategic Vision

  • Strategic business partner for campus leaders providing school-wide strategic leadership, planning analysis and direction for program development that will improve the performance and efficiency of services.
  • Develops performance metrics and performance monitoring tools to gauge progress and provide strategic advice on any course correction as indicated.
  • Facilitate multi-year strategic and tactical financial planning that links to key campus plans and priorities. Anticipates business needs and organizes appropriate planning.
  • Leadership

  • Works in close partnership with leadership to oversee, implement, and track the operating and equipment budget, student accounts and all aspects of the school's finances.
  • Assumes leadership and provides direction over campus matters relating to Finance, and represents the interests of the campus with enterprise-level departments.
  • Communicates and reports responsibly and consistently to campus leadership, ʻohana and other stakeholders/constituents. Nurtures positive and productive relationships for effective and influential communication.
  • Sets the overall tone and approach for the financial assistance program for the campus to increase ʻohana independence and minimize write-offs.
  • Provides guidance and support to all other clerical/admin support staff across Preschool through appropriate fiscal training.
  • Special Projects

  • Serves as Project Manager, Project Owner, Project Functional Owner, or Subject Matter Expert (SME) for campus projects which may involve tri-campus coordination as assigned.
  • Position Requirements

    Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.

  • Bachelor's Degree in Accounting, Finance or other related field
  • Minimum of 5 years of related work experience in progressive strategic planning, financial forecasting and analysis, and/or senior management work responsibilities.
  • Demonstrated leadership and management skills, including the ability to manage supervised areas in developing and achieving annual goals and meeting stated deadlines.
  • Able to balance between high level of strategic planning to the details of day-to-day operations.
  • Strong business acumen as a strategic thinker with an innovator's mindset for future-focused planning and problem resolution.
  • Demonstrated experience to being proactive and offering solutions to best support organizational needs.
  • Working knowledge of the principals and practices of accounting, auditing, budgeting, financial analysis, and financial reporting, standards. Must be able to apply independent judgement to review, analyze, and recommend improvements.
  • Working knowledge of Federal and State tax principles as they relate to non-profit organizations.
  • Ability to communicate (verbal and written) confidently and directly with poise, tact and diplomacy using strong interpersonal skills to build and nurture relationships to work effectively with management and staff at all levels in the organization and with various stakeholders and beneficiaries. Ability to communicate complex information in a manner understandable by various stakeholders.
  • Demonstrated ability to analyze, reconcile and synthesize detailed information and prepare final reports and analyses for senior management within prescribed time parameters and deadlines.
  • Able to work with a high degree of accuracy and with highly confidential information.
  • Demonstrated success in planning, organizing and coordinating the work of others.
  • Excellent organizational skills to prioritize and handle complex, multiple, simultaneous projects and job responsibilities in a fast- paced environment while meeting critical deadlines.
  • Self-directed with ability to exercise independent judgment and discretion. Ability to take broad directions and accomplish a broad range of tasks without the necessity for detailed direction.
  • Demonstrated ability to remain flexible in a demanding work environment and to adapt to a rapidly changing environment.
  • Advanced microcomputer skills, to include spreadsheet, word processing, database and business graphics. Experience with financial accounting systems, report creation and data mining activities.
  • Knowledge of processes and internal controls in a business environment and experience with business process re- engineering and change management projects. Ability to implement a change management program.
  • Preferred Qualifications

  • Certified Public Accountant
  • Leadership experience and in delegating, guiding, directing, counseling and evaluating subordinates.
  • Previous experience in an independent school setting.
  • Familiarity with Hawaiian culture and language.
  • Physical Requirements

  • Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
  • Specific vision abilities required include close vision, peripheral vision and ability to adjust focus.
  • Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
  • Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
  • Working Conditions

  • This position may involve traveling to other locations, including neighbor islands to conduct business.
  • Work is conducted in an office/health room environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
