    Position Description:

    Assistant Manager, SE Campus at The Washington School of Ballet (TWSB) maintains the registration system, serves as the main contact for customers, and oversees receptionists. This position is a key support position for the Artistic Administrator of the SE Campus and the TWSB School Manager.


    Responsibilities:

    • Positively represent The Washington Ballet (and TWSB) to all constituents, within and outside the organization
    • This position works Tuesday-Friday 11-7 pm/12-8 pm and Saturdays for 5 hours during class & rehearsals from Sep-May. This position shifts to Mon-Fri June-August and during Winter Breaks. Schedules may shift during events.
    • Management of reception staff with Artistic Administrator and TWSB School Manager including scheduling and overseeing training.
      • Weekly check-ins with receptionists to ensure facility needs are being met, events are covered, and customer needs are being met.
      • Cover shifts if a receptionist is not available.
      • Maintain the reception schedule and confirm payroll hours for the Artistic Administrator.
    • Maintain and proofread registration and website for SE Campus
      • Maintain a thorough knowledge of registration systems to provide excellent customer support with registration.
      • Coordinate the audition submissions, distribute video applications to the Artistic Administrator, and communicate placement to students as required.
      • Coordinate the distribution of mid-year and end-of-year evaluations to families.
      • Collate Key Performance Indicators for Managing Director.
      • Collate demographic information for Development and Managing Director.
      • Archive key information in SharePoint.
    • School Schedules
      • Assist with maintenance of key School Schedules with the Artistic Administrator.
      • Input substitutions in the schedule as needed and provide backup for scheduling duties to admin staff.
    • Assist with the notification of Tuition Assistance and Scholarship awards as required.
    • School Communications
      • Maintain shared inboxes for the School ensuring quality customer service and efficient turn-around.
      • Organize seasonal and bi-weekly communications to parents including important dates, uniforms, registration information, special events, school closures, and other correspondence as needed.
      • Work collaboratively with school principals and managers on the School Calendar and communications.
      • Assist with marketing communications as needed.
    • Manage general operations of SE studios
      • Look ahead in the calendar and studio schedule to anticipate reception and scheduling needs for school staff and students.
      • Oversee on-site activities related to the school such as open houses, orientations, auditions, parent meetings, and rentals. Delegate to Assistant Managers as needed.
      • Work with facilities, Artistic Administrator, and receptionists to maintain studios, equipment, supplies, and a welcoming environment to both staff and clients.
      • Maintain signage, equipment, lost-and-found, and supplies as needed
      • Assist Artistic Administrator with first-day-of-school needs, orientations, parent observations, auditions, and other on-site events.
    • Performances: Assist with annual Spring Performance and studio shows for parent communication in collaboration with Artistic Administrator.
    • Be available weekends and evenings as required
    • Provide support as necessary to the Company and Community Engagement programs
    • Support the philosophy and mission of The Washington Ballet and The Washington School of Ballet
    • Must assist the Public Relations Manager in the search to produce new media outlets and contacts for the promotion of The Washington Ballet, The School, and The Ballet's community engagement activities; the ability to think creatively in efforts to widen the Ballet's exposure locally, nationally, and perhaps internationally is a definite plus
    • Must be familiar with all social media platforms (search, monitor, post, edit content)
    • Must be a self-starter.
    • Must possess excellent organizational skills, good collaborator.
    • Communicates conflicts, concerns, or matters of urgency to appropriate supervisor or company director
    • Work in a detail-oriented manner, is resourceful and flexible, and able to handle tasks simultaneously
    • Work independently and as part of team.

    Experience, Skills, and Knowledge:

    While we understand that no single candidate may possess every qualification listed below, the following are priorities.

    • Bachelor's degree preferred.
    • Knowledge of ballet is preferred.
    • Knowledge of the Microsoft Office Suite, proficiency in Excel essential.
    • Experience working with financial accounts-payable and receivable.
    • Experience with or ability to learn financial management software a must.
    • Three or more years experience preferably in a non-profit arts environment.
    • Experience working with youth in an urban environment highly desired.
    • Effective written and verbal communication required.
    • Excellent customer service skills required.
    • Familiarity with basic accounting principles.
