    Job Description:

    This role involves supporting HR Senior Vice Presidents

    Experience needed in Microsoft Office applications like Outlook, Word, Teams, Excel, and PowerPoint, as well as Adobe Acrobat and various social media platforms.

    Key Responsibilities:

    • Calendar management for executives
    • Handling both domestic and international travel, including Visa arrangements
    • Managing expenses
    • Assisting with administrative tasks such as printing, acting as a delegate for different systems, and maintaining organizational charts
    • Handling correspondence and communication on behalf of the leader
    • Making decisions regarding invoices and purchase orders
    • Managing high-level contacts both internally and externally
    • Organizing client meetings, executive events, and conferences
    • Onboarding new employees
    • Utilizing technical skills such as organization, multitasking, data entry, attention to detail, problem-solving, and decision-making

    Job Summary:

    Responsibilities include performing secretarial and administrative tasks, managing schedules, arranging appointments, travel, meetings, and conference calls. The role requires analytical skills, initiative, independent judgment, and a good understanding of the business unit's policies. Also involves handling sensitive and confidential communications. May provide support to various department professionals or managers.

    General Duties & Responsibilities:

    • Coordinate schedules, appointments, and agendas for managers
    • Arrange business travel for senior staff
    • Screen phone calls and incoming mail
    • Perform word processing tasks
    • Organize department meetings and conference room bookings
    • Serve as a point of contact for internal and external stakeholders
    • Follow organizational procedures efficiently
    • Utilize computer software for various tasks ranging from email to reports to spreadsheets
    • Process onboarding/offboarding forms and communicate relevant information
    • Manage office supplies and reorder when necessary
    • Perform other assigned duties

    Educational Requirements:

    A high school diploma or GED is necessary for this position.

    General Knowledge, Skills & Abilities:

    • Excellent understanding of administrative practices
    • Ability to handle sensitive and confidential information
    • Strong communication and interpersonal skills
    • Proficient with office equipment and software like Microsoft Office suite
    • Attention to detail in tasks such as scheduling and record-keeping
    • Problem-solving skills
    • Effective verbal and written communication
    • Ability to build and maintain relationships with various stakeholders

    Additional Skills:

    This is an intermediate professional role requiring moderate skills with a high level of proficiency. Involves secretarial and administrative duties, schedule management, and contact with sensitive information. Reports to a Director and may support multiple department professionals or managers. Requires several years of experience in a similar role.
