Under supervision performs work of moderate difficulty in assigned field; performs related work as assigned.

This position is in the Voter Registration division of the Recorder's Office and will have required overtime on evenings, weekends, and holidays during peak election seasons.

This is a front desk position that focuses heavily on in-person customer service.


Please Note:
This position is in the Voter Services division of the Recorder's Office. The position will be full time plus required overtime when necessary for the entire 2024 calendar year.

This position will be part time 20 hours per week during non-election periods and will be full time during election cycles (normally scheduled in even numbered years).

Due to the change in hours during elections, this position is benefit eligible.**
Typical Duties:

  • Receives, sorts, files and retrieves forms, correspondence and documents
  • Compiles reports and summaries of work
  • Updates, checks and completes records, forms and documents
  • Verifies discrepancies and makes corrections
  • Processes documents to update and maintain files and records
  • Researches records and disburses information
  • Processes & distributes confidential and sensitive documents
  • Establishes and maintains complex filing systems
  • Composes, formats and types routine correspondence, reports and other documents
  • Operates and maintains a variety of office equipment
  • May perform data entry
  • May record and document proceedings
  • May orient and train other clerical staff
  • May coordinate calendars, schedules, meetings, training and travel arrangements
  • May maintain account records, cash control, accounts receivable and accounts payable
  • May assist other agencies and the public with information forms and other department resources and explaining procedures
  • May answer incoming phone calls
  • May order, receive and distribute office and program supplies


Essential functions of this position include but not limited to: sitting; working with and around others; dealing with interruptions; repetitive motion (hand/wrist) for computer work; vision acuity (near-far) for routine office and customer service duties; color vision for reading maps; hearing and speech for ordinary conversation; finger dexterity for typing and paperwork.


Minimum Qualifications:


ADDITIONAL REQUIREMENTS:
Must be able to complete a background check.


Preferred Qualifications include experience with AVID voter registration database software; experience working an election in an administrative capacity (not a poll worker on election day); customer service experience; Microsoft Excel experience.


Knowledge, Skills and Abilities:


Considerable knowledge of:


  • Business English, spelling and arithmetic, punctuation and grammar
  • Office practices and procedures

Skill in:


  • Use of computer systems, Microsoft Suite, and other office machines
  • Report preparation

Ability to:


  • Compose correspondence dealing with technical and complex matters
  • Exercise sound independent judgment on a variety of problems in accordance with established departmental policies and procedures
  • Prioritize, plan and carry out assignments
  • Work safely and support the culture of workplace safety
  • Establish and maintain effective working relationships with employees, other agencies and the public
  • Follow written and verbal instructions
