    Position Title: Administrative Assistant

    Location: San Jose, CA

    Key Responsibilities:

    • Greet visitors, answer phone calls, and respond to inquiries in a professional and courteous manner.
    • Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt.
    • Coordinate mail distribution, shipping, and receiving activities.
    • Assist with document preparation, formatting, and editing using Microsoft Office Suite (Word, Excel, PowerPoint).
    • Organize and maintain electronic and physical filing systems for project documents, correspondence, and other records.
    • Assist with scanning, copying, and filing documents as needed.
    • Schedule meetings, appointments, and conference calls for team members, ensuring efficient use of time and resources.
    • Coordinate travel arrangements, including booking flights, hotels, and transportation as required.
    • Assist with meeting and event coordination, including room reservations, catering arrangements, and equipment setup.
    • Provide administrative support to project managers and teams, including assisting with project documentation, tracking project expenses, and maintaining project schedules.
    • Assist with the preparation and distribution of project-related reports, presentations, and proposals.
    • Collaborate with team members to ensure timely completion of project deliverables.
    • Assist with special projects and initiatives as assigned by management.
    • Maintain confidentiality of sensitive information and exercise discretion in handling confidential materials.
    • Perform other administrative tasks and duties as needed to support the office and team members.

    Qualifications:

    • High school diploma or equivalent required; associate's or bachelor's degree preferred.
    • Proven experience as an administrative assistant or office assistant.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
    • Strong attention to detail and accuracy in all work activities.
    • Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
    • Ability to work independently with minimal supervision and as part of a team.
    • Previous experience in the construction or architecture industry is a plus.

Our program provides employees the flexibility to choose the type of coverage that meets their individual needs. Available paid leave may include Paid Sick Leave, where required by law; any other paid leave required by Federal, State, or local law; and Holiday pay upon meeting eligibility criteria.

    Pay Details: $23.00 to $26.00 per hour
