    Description

    Job Title: Executive Assistant

    Location: 100% onsite in Raleigh, NC or Nashville, TN


    Schedule: M-F 8:00am to 5:00pm (Hybrid work schedule is possible (1 day remote)

    Duration: 6 months (Temp to hire opportunity for the right candidate).


    Travel: 10-15% travel to events

    Job Description:


    In this position, the Executive Assistant must interact seamlessly with high level of professionalism with members of the Senior Executive leadership team as well as with other stakeholders. They will manage administrative tasks to ensure smooth and efficient operation, while handling highly sensitive and confidential information.

    Responsibilities:

    • Provide a variety of advanced executive assistant functions to relieve business leaders of complex details and advanced administrative duties.
    • Maintain a regularly changing calendar, including scheduling meetings, appointments, speaking engagements, and extensive travel arrangements (both domestic and international). Exercise discretion in committing time and evaluating needs.
    • Coordinate and schedule meetings internationally and across multiple time zones ensuring you protect the personal time of the executives you support.
    • Coordinate work with other EA's as needed and play a key role in the coordination of efforts within the direct teams of the executives you support.
    • Keep executives advised of time-sensitive and priority issues, ensuring appropriate follow-up so that deadlines are not missed.
    • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
    • Schedule meetings including off-site events, team meetings, seminars, training, and event coordination as required.
    • Willingness to travel occasionally to support off-site events.
    • Develop correspondence, reports, presentations, meeting agendas, emails and external communications.
    • Prepare, reconcile, and submit expense reports for executives.
    • Other additional and/or alternative duties as assigned from time to time, including supporting other departments as needed.
    MUST HAVE:
    • Minimum 8 years of experience in an executive level administrative position with various time zones and cultures.
    • Heavy calendaring experience
    • Experience coordinating travel arrangements, both domestic and international
    • Experience managing Executive schedules using Client Outlook to align / synchronize.
    • Proficient computer skills including MS Office products and web applications.
    • Excellent organizational skills, as well as verbal and written communication skills required.
    • Results oriented and able to make decisions without direct supervisor involvement and open to work in a multi-cultural environment.
    • Soft skills enabling quick integration in the network of Executive Assistants.
    • Must have a positive attitude and flexibility to work outside of regular schedule when special events require admin support.
