    Job DescriptionCall Center Team Member- Part Time

    The Call Center is our patients first impression of the practice- whether they are new or returning. As such, it is an integral part of the success of the business. Below is a brief outline of the position and expectations.

    Previous experience in a call center or customer service role is preferred but not required.

    Schedule: 20-21 Hours - 3 Days a week T TH F (Saturdays 7:30-12:00 pm- Only 8 Saturdays per year)Compensation: Starting $19.00 per hour ( experience considered for different compensation change)

    The position of Call Center Team Member includes but is not limited to the following items:


    •Pull and file patient charts/collect and update patient information into database, ensuring accuracy.


    •Confirm appointments according to schedule utilizing our cancellation policy


    •Break and record missed appointments


    •Schedule all appointments including new patients


    •Follow new patient protocols, including referral source tracking


    •Document patient conversations accurately


    •Understand production and schedule correctly


    •Manage Weave including voicemails


    •In case of office closures, notify and reschedule patients


    •Collect patient payment information


    •Manage correspondence to and from specialists within our office


    •Follow-up and review website leads


    •Create and audit new patient charts


    •Manage emails


    •Inactivate patients


    •Patient Birthday Correspondence (monthly)


    •Complete recare phone calls


    •Complete recare patient letters


    •Work appointment tracker books


    •Complete SI training and maintain monthly certification


    •Complete Dentrix training as needed (provided)


    •General awareness of schedule and how to schedule based on the provider and production.


    •Work with Marketing Director regarding marketing campaigns, new patients etc.

    Essential Qualifications:

    • Represents the practice in a professional , pleasant and cooperative manner at all times (during business hours and after)
    • Cleary and effectively communicates with Team Lead, team members and clients.
    • Must be able to work both independently and cooperatively in team settings.
    • Maintain a professional and courteous tone during all interactions with patients, fostering a positive and welcoming environment at all times.
    • Maintaining patient/practice confidentiality at all times.
    • Follow practice Core Policies/Handbook to ensure all processes are followed.
