Your Specific Responsibilities:
This is a professional position located within the Bureau of Preparedness and Response responsible for providing administrative and professional support to staff in the bureau.
Duties will include performing human resources activities and travel preparation.Human Resources - Incumbent will be a human resources/personnel liaison for the bureau, participating in HR related trainings and informing staff of any relevant changes to the FLHealthDesk HR system and personnel related policies and procedures.
Incumbent will be responsible for creating tickets in FLHealthDesk HR for the bureau and tracking actions to completion.Incumbent will assist with scheduling interviews, submit required new employee documentation, and send applications, applicant matrices and other required documentation to the Office of Personnel and Human Resource Management as required.
Trave l - Incumbent will be a travel liaison for the bureau, participating in travel related trainings and informing staff of any relevant changes to the State travel system and travel policies and procedures, along with assisting to trouble shoot any system related issues or travel reimbursement problems.
Incumbent will complete travel on behalf of the Bureau Chief and other bureau sections as needed.Bureau Support - Incumbent is responsible for assisting bureau staff with administrative functions such as preparing, reviewing and/or finalizing correspondence, documents, and presentation materials, based on DOH established standards.
Incumbent will route and track assignments using the CorrFlow system. Incumbent will provide meeting logistics support as requested.Records Management - Incumbent will be responsible for being familiar with the Records Management Policy DOHP 250-6 and assisting bureau staff with archiving and disposition of records as needed.
Telephones and Mail - Incumbent will be responsible for answering the Bureau's phone lines in a consistent, professional manner, checking messages and ensuring coverage by coordinating schedules with other bureau administrative staff.
Incumbent will collect and distribute mail daily.Emergency Support Function-8 (ESF8)
Emergency Duties :
Incumbent will be listed on the ESF8, 3-deep roster as a travel analyst in the Finance and Administration Section and will report directly to the F&A Chief.
Incumbent will be required to report as requested in activation orders and assist to ensure all travel related needs of the even are met.
Incumbent may be activated in another F&A roll as needed. Incumbent must be ready to respond for a minimum of two weeks at a time.Other duties as assigned.
