Description
Heartland Nursing and Rehabilitation Center -CENTRAL SUPPLY CLERK
Position Purpose: Responsible for ordering, distributing, and maintaining supplies and equipment for continuous and timely resident care related services.
Required Qualifications
· Prior experience in long-term care preferred but not required.
· High school diploma: certification in Central Supply from an accredited school, preferred.
· Ability to follow written and oral instructions.
· Knowledge of Medical terminology.
Major Duties and Responsibilities
· Responsible for ordering, distributing, and maintaining supplies and equipment for continuous and timely resident care related services.
· Takes inventory of and rotates stocked items daily and maintains monthly inventory of all nursing supplies.
· Orders and maintains inventory of supplies and fills requests according to procedures.
· Places central supply and vendor orders on a weekly basis, to maintain adequate inventory as demonstrated by requisition order; Insures timely shipping of orders.
· Forwards purchase orders to Accounts Payable Bookkeeper.
· Unpacks and checks supplies upon receipt from vendors or other suppliers, and reports discrepancies in orders to Administrator; Packs supplies which need to be returned or sent-out.
· Places charge stickers or charge slips on supplies.
· Initiates resident charges according to written policies and procedures.
· Maintains order of supply areas.
· Receives, sorts, and cleans equipment in accordance with decontamination policies.
· Orders, maintains, and assembles equipment and puts them in proper position.
· Labels, loads, records, and sterilizes items according to procedures as documented by sterilization logs; Cleans sterilizer according to operating procedures.
· Maintains budget as recorded on budget sheet; Reports over budgeting to Director of Nursing Services (DON).
· Develops and maintains par levels at each nurses' station and traces missing charges with assistance of nursing department.
· Ensures that special equipment is in good working order.
· Maintains accurate records of resident payor status i.e.: Medicare, Medicaid, Skilled or Private; Maintains accurate records of resident requirements for ASM supplies; Notifies ASM of changes in resident status i.e.: death, discharge, change in Doctor's order.
· Performs any miscellaneous work assignments as may be required.
MEDICAL RECORDS CLERK
Major Duties and Responsibilities
· Organizes, plans and manages the medical records department in accordance to established policies and procedures.
· Ensures resident health information is protected and not disclosed unless by permission or with established policies and procedures.
· Assigned Tasks
· Retrieves resident records (manually/electronically). Delivers as necessary.
· Files information such as nursing notes, assessments, progress notes, lab reports, x-ray results, correspondence, etc., either manually or electronically into resident charts.
· Collects, assembles, checks, and files resident charts.
· Ensures incomplete records/charts are returned to appropriate department or personnel for corrections.
· Ensures resident records are properly completed, assembled, coded, etc., before filing.
· Extracts information from records for insurance companies, Medicare, Medicaid, VA, etc., in accordance to established policies and procedures and privacy rules.
· Picks up and delivers medical records to designated areas as necessary.
· Answers telephone calls in regard to inquiries about medical records. Prepares written correspondence as necessary.
· Files active and inactive records as per established policies
· Completes portion of death certificates as indicated.
· Maintains logs of specific items as per established policies and procedures.
· Maintains requests for medical records forms and completes as necessary.
