RESPONSIBILITIES
Calendar Management / Scheduling / Meeting Preparation
- Schedule and coordinate internal and external calls and meetings with highprofile, senior stakeholders in multiple time zones.
- Own the preparation of materials for these meetings (printing, binding, etc.); PowerPoint and Excel skills will be critical.
- Prep Head of IR before meetings by ensuring she has proper materials in advance, and checkin after meetings to manage followups / takeaways.
- Regularly monitor and adjust calendars given the dynamic nature of the firm's business.
- Plan heavy domestic and international travel and transportation for business trips (airfare, visas, hotels, etc.).
- Coordinate and manage lunch and dinner reservations for investor meetings.
- Organize and coordinate all aspects of Roadshows including creating the itinerary, preparing tear sheets, and printing materials.
- Input and maintain data (meeting notes, interactions, contact details, etc.) in the Firm's CRM (DealCloud).
- Maintain and update firmwide materials (website, presentations, business cards, branded items) as needed.
- Assist with the organization, coordination, and execution of the Annual General Meeting.
- Organize, plan, coordinate, and manage the dayof activities for special projects and events. This includes assisting with the research, selection, and coordination of venues, menu selection, contract negotiation, and overall execution (Annual General Meeting with 100+ investors, Women in Private Equity Breakfast, etc.).
- Prepare and submit expense reports and reimbursements in a timely fashion.
- Run errands as requested.
REQUIREMENTS:
- Bachelor's Degree required
- 5+ years supporting Csuite executives in PE, HF, or AM experience is a requirement
- Previous Investor Relations EA team experience is a requirement
- Experience managing travel itineraries, meeting planning, and conference calls (including different time zones)
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word) and Outlook
- Selfstarter who demonstrates initiative and a team player mentality
- Able to multitask and pivot / reprioritize as new information emerges
- Thinks proactively and anticipates / sees around corners
- Uses critical thinking to solve problems
- Communicates with speed and transparency
- Strong attention to detail and uses discretion with confidential matters
- Able to partner / influence others by diplomatically communicating with sector teams and admins (peers) to achieve alignment
PACKAGE
$120,000-140,000 Base Salary
