- Maintains accurate and up-to-date human resource files, records, and documentation.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or school leaders.
- Maintains the integrity and confidentiality of human resource files and records.
- Assists with payroll functions including report preparation, processing, answering employee questions, and distributing checks or tax documents.
- Assists with the recruitment process by maintaining current job postings, performing background checks, and attending job fairs.
- Conducts or assists with coordination of new hire orientation by scheduling meetings, training, and language testing.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Provides clerical support to the HR Director.
- Assists with planning and execution of special events such as benefits enrollment, staff meetings, and retirement celebrations.
- Performs other duties as assigned.
- 1 year prior human resources or payroll-related experience.
- High level of organizational skills with an absolute attention to detail.
- Ability to handle and prioritize multiple work assignments and daily tasks in a busy office.
- Ability to use spreadsheets, tables, calculations, and automation efficiently to process large quantities of data relevant to business tasks.
- Excellent follow-through and communication regarding open items.
- Ability to communicate in a pleasant, tactful and effective manner (both orally and in writing).
- Ability to recognize and handle confidential information.
- Demonstrated ability to collaborate effectively.
- A valid MN driver's license and reliable access to a vehicle.
- Experience working in a school setting.
- Experience in using Apple products and Google Mail, Drive, Sheets, and Meet.
- Familiarity with UFARS accounting codes.
- Spanish or Mandarin language skills.
- Employer contribution of 7.5% of gross pay to individual's Public Employees Retirement Association (PERA) account
- 5 days of vacation leave per year (2-month waiting period)

Job Summary: The Human Resources (HR) Administrative Assistant at Lakes International Language Academy, a public Spanish and Chinese immersion school serving students in Pre-K to Grade 12 in Forest Lake, MN, is responsible for the daily administrative and HR duties of the school. They will assist with recruitment and record maintenance for payroll processing as well as provide clerical support to the Director of HR.
Essential Functions:
This position requires vocal communication, hearing, climbing, balancing, stooping, kneeling, reaching, standing, walking, long periods of sitting, pushing, pulling, use of hands to grasp and feel, and vision abilities including close, distance, and adjusting focus. Occasional lifting/moving required up to 25 pounds. Work is generally in a moderately noisy location. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
