    Non-ExemptDescription The Operations Coordinator is an integral part of JSRI's dynamic team and serves as JSRI's first point of contact with students, faculty, Advisory Board, and other community members/organizations.

    This position provides administrative, clerical, logistical, technological and overall support to all of JSRI's programming, faculty, staff, student workers and Advisory Board.

    The Operations Coordinator manages efficient communications strategies through JSRI's website, social media and other platforms, organizes events and meetings, and maintains effective partnerships within the Loyola community.

    Examples of Duties

    • Creates a professionally efficient and hospitable environment for JSRI.
    • Handles various forms of communication, such as phone calls, e-mails, and official correspondence for JSRI.
    • Helps prepare for and proofreads all communications.

    • Handles all clerical duties such as typing, filing, copying, and processing university forms.
    • Facilitates preparation for JSRI Advisory Board and periodic committee meetings and mailings; coordinates housing, some travel, and meal functions for members.
    • Keeps minutes and records of meetings connected with JSRI.
    • Helps design and produce brochures, flyers, handouts, and other promotional materials and publications for JSRI and works with Public Affairs to publicize JSRI events. Works to increase JSRI visibility on campus, with various publics, and on social media.
    • Helps with photocopying and deals with outside editors and printing firms.
    • Supports transcription and publishing talks and programs presented by JSRI.
    • Maintains the cleanliness and appropriate order of the JSRI office.
    • Manages all work orders, supplies and materials needed by JSRI.
    • Supervises student workers
    • Monitors finances (e.g., expenditures, budget categories) and provides regular financial updates through interaction with the Loyola financial programs such as FRS. Coordinates billing to multiple grant accounts.
    • Assists in the planning and implementation of JSRI programming including planning events and conferences, reserving appropriate facilities, securing media equipment, and setting up for events at JSRI, as well as ordering needed food, beverages, and supplies.
    • Assists in the decoration of the JSRI office, conference room, and bulletin boards.
    • Maintains donor base, assures prompt donor thank-you letters, and supports friend-raising and fund-raising activities, including annual giving communications.
    • Consults with director, faculty, and other staff in developing appropriate concepts and design for select publications.
    • Works with printers/publishers to assure quality production of research publications, including review and revision of publication proofs

    Process faculty stipend payments and reimbursements for travel, coordinate purchasing supplies and course materials for the prison courses, deliver materials and supplies to prison when necessary, and generally support faculty and Loyola at Rayburn staff with logistical challenges of teaching in the prison environment.

    • Bachelor's Degree
    • Minimum of 2 years prior administrative experience
    • Compatibility with and basic interest in JSRI's mission for research, education, and advocacy, Catholic Social Thought, serving faith, and promoting justice
    • Ability to learn about and collaborate with the research undertaken by JSRI
    • Good organizational abilities
    • Proficiency with Microsoft Word, Excel, Google Drive Suite and basic internet skills
    • Ability to relate well with numerous types of people: administration, faculty, staff, students, and JSRI constituency
    • Visual design skills.
    • Ability to work with the appropriate people to design and develop promotional materials
    • Ability to get things done through Loyola's systems
    • Ability to take initiative and to be flexible in order to collaborate in JSRI as it develops and grows new programs
    • Ability to work well with the director, faculty, and staff
    • Willingness to adjust work schedule to the needs of the JSRI when necessary, e.g., possible weekend conferences, Board meetings, Teach-Ins, etc.

    Preferred Qualifications:

    Bilingual in English and Spanish; former Jesuit Volunteer or other social justice service experience, visual design experience (Adobe CS preferred), proficiency with technological systems.
