    Reports to: Director of Exceptional Services

    Job Summary: Assists Director of Exceptional Services by performing secretarial duties

    ESSENTIAL DUTIES AND RESPONSIBILITIES: Specific duty assignments for this position are made by the Director of Exceptional Services. The essential duties and responsibilities listed are typical and general in nature. Other duties may be assigned.
    1. Receives, types, and delivers messages to and from Director of Exceptional Services
    2. Prepares communications pertaining to special programs
    3. Answers phone, greets and directs visitors courteously and professionally as needed
    4. Provides assistance to the Director and staff with daily and special activities
    5. Schedules conferences and assists in preparations for Director and staff
    6. Keeps calendar of appointments and meetings for Director of Exceptional Services
    7. Informs Director and communicates with other appropriate staff regarding Special Programs financial accounts
    8. Assists Director by informing customers and staff of federal, state and local laws, policies, procedures, and guidelines
    9. Assists in the processing of Exceptional Programs records
    10. Reviews Exceptional Programs department staff leave as assigned
    11. Stays current in familiarity and use of related software programs utilized by the system, such as student information system, data management, Word, and Excel
    12. Prepares, copies, distributes and maintains supply of forms used by the Special Programs department
    13. Maintains file of correspondence, including records, reports, property inventory, etc., in prescribed manner
    14. Processes files for evaluations and sends out correspondence to obtain parental consent and monitors timelines for evaluations
    15. Checks reports for accuracy and follows up on discrepancies
    16. Operates a variety of office machines and equipment
    17. Secures records and confidential information
    18. Contacts vendors regarding calibration of equipment and pick up of used medical supplies
    19. Balances financial records as assigned; reconciles, prepares and submits financial statements as required
    20. Prepares and monitors purchase orders and contacts vendors as directed
    21. Maintains current budgets on all Exceptional Program accounts
    22. Provides information to parents and inquirers about services provided by the school and system and requirements for those services
    23. Complies with any reasonable oral or written directive of the Director of Exceptional Services or other appropriate administrator
    Qualifications: High school diploma with training and/or at least two years of work experience in secretary, bookkeeping, clerical, or data-entry. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
