    Position Overview: As an Office Manager at our staffing agency, you will play a pivotal role in ensuring the smooth and efficient operation of our office. You will be responsible for managing administrative tasks, providing support to the branch manager and maintaining a professional and organized work environment. Your attention to detail, excellent organizational skills, and ability to multitask will be essential in contributing to the overall success of the agency.

    Key Responsibilities:

    1. Administrative Support:
      • Manage day-to-day administrative tasks, including answering phone calls, responding to emails, and handling correspondence.
      • Schedule appointments, meetings, and interviews, coordinating with internal staff and external stakeholders as needed.
      • Maintain office supplies inventory and place orders when necessary.
      • Assist with document preparation, formatting, and proofreading.
    2. Data Management and Reporting:
      • Maintain accurate and up-to-date records in the agency's database, including client and candidate information, job orders, and placements.
      • Generate regular reports on key performance metrics, such as candidate pipelines, interview schedules, and placement outcomes.
      • Assist with data entry and data analysis tasks to support decision-making processes.
    3. Client and Candidate Interaction:
      • Greet visitors and candidates who visit the office, providing them with a positive and welcoming experience.
      • assist current employees with any issues they are experiencing at work.
      • Liaise with clients and candidates over the phone and via email, providing information and assistance as needed.
    4. Office Management:
      • Oversee the maintenance of office equipment, ensuring that it is in good working condition.
      • Coordinate office cleaning and maintenance services, maintaining a clean and organized workspace.
      • Implement and enforce office policies and procedures to ensure compliance with company standards and regulations.
    5. Team Support:
      • Provide administrative support to the branch manager and recruitment team.
      • Collaborate with team members to streamline processes and improve efficiency in office operations.
      • Foster a positive and collaborative work environment by promoting teamwork and open communication.

    Qualifications:

    • High school diploma or equivalent; bachelor's degree in business administration or a related field is preferred.
    • Proven experience in an administrative role, preferably in a staffing or recruitment environment.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
    • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
    • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
    • Attention to detail and accuracy in data entry and record-keeping.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
