- Support to the IOP and PHP teams, including the Program Manager, Clinicians, and patients.
- Schedule appointments, manage IOP and PHP services, and conduct video calls for virtual groups.
- Warmly greet patients, their families, and colleagues, fostering a respectful atmosphere.
- Coordinate IOP and PHP Groups, manage group coverage as needed, and prepare group rooms while ensuring cleanliness and sanitation.
- Monitor patient attendance and appointment charges daily.
- Assist with daily electronic questionnaires for IOP and PHP patients, reporting safety concerns to the Program Manager and providers.
- Participate in weekly multidisciplinary treatment team meetings.
- Update patients' addresses and insurance details accurately.
- Help patients with necessary paperwork.
- Handle clerical tasks such as answering phones, copying, mailing, and sorting documentation.
- Address email inquiries promptly and courteously.
- Use electronic systems like EHR and Google Suite efficiently.
- Maintain a well-organized office environment that exudes professionalism and warmth.
- Support the Site Director in ensuring clinic compliance.
- Maintain PHI confidentiality following HIPAA guidelines.
- Manage inventory needs to ensure an adequate supply.
- Provide top-notch customer service even in challenging situations.
- Ability to make independent judgments, showcasing critical thinking, flexibility, and problem-solving abilities.
- Strong verbal and written communication skills for professional interactions.
- Excellent organizational and time-management skills with keen attention to detail.
- Proficiency in Google Suite and relevant software; experience with Electronic Health Record (EHR) systems is beneficial.
