    Summary Description of Role

    The Business Manager plays a pivotal role in overseeing the company's operational, financial, and administrative functions. This includes managing business transactions such as contracts and invoices, supervising the ticket sales process for events, and steering the company's human resources strategies. The role demands a proactive approach to maintaining compliance, optimizing internal processes, and ensuring organizational effectiveness.

    KEY RESPONSIBILITIES

    Financial & Contract Management

    • Along with the ED, responsible for working with the accountant to maintain financial compliance.
    • Manage all aspects of accounts payable and receivable, including timely processing of bills, expenses, and payroll.
    • Administer payments for all staff contracts and invoices with rigorous attention to detail.
    • Create, execute and maintain all staff contracts
    • Develop and implement processes for ticket sales – soliciting, selling, tracking, etc.
    • Responsible for maintaining the grant completion and reporting calendar.

    Human Resources Management

    • Oversee the maintenance and retention of all human resources documents and procedures.
    • Compile and report on key organizational metrics monthly, including financials, staffing levels, and attendance.
    • Manage internal communications, including the distribution of monthly newsletters and other mailings as required.

    Office and Operations Management

    • Contacting past and potential customers for classes and camps by email and phone call.
    • Ensure the smooth operation of the office, including managing communication channels and overseeing the maintenance of the studio.
    • Coordinate on-site activities such as check-in/registration for classes, camps, and events, and manage the opening and closing of facilities.

    • Inventory management of company supplies
    • Participate in regular staff meetings.
    • Along with Directors, staff, Board members, represent Signature at company fundraisers, public events, conferences, and workshops.
    • Record minutes at quarterly board meetings.

    Policies and Procedures

    • Establish and maintain policies and procedures for financial, human resources, and office management to enhance organizational efficiency and compliance.

    EDUCATION

    • High School Diploma or equivalent Required

    EXPERIENCE

    Professional experience

    • 3 or more years of administrative, office support, or customer service experience Required
    • Proven track record of managing financial and administrative functions in a dynamic environment.

    SKILLS/COMPETENCIES

    Knowledge, skills and abilities (incl. languages)

    • Demonstrated advanced knowledge in creating contracts, financial management and human resources.
    • Exceptional written and verbal communication skills, with an emphasis on professional customer service.
    • High proficiency in organizational and time management skills; ability to multitask under pressure.
    • Strong leadership qualities and the ability to work effectively with diverse teams.
    • Thorough, organized, and detail-oriented approach to work.
    • Proficient in using tech tools such as G-Suite, Quickbooks, and other relevant software.
