    Description
    Talis Group's company client, a Louisville based mid-sized law firm specializing in workers compensation, is hiring a Records Management Administrator for their office. This is a full time position, on site, with benefits such as health, life, disability insurance, 401k, and paid time off. The focus of this position is supporting paralegals and attorneys with medical records requests for their injury litigation cases. Due to the size and nature of the litigation, this position will be helping administer a large volume of medical records request as well as following up on requests, maintaining records, filing paperwork and tracking deadlines. Position will require calendar management, data management, phone work, and scheduling meetings.
    Highlighted Duties:
    • Review daily calendar and emails for deadlines and/or assignments.
    • Review medical records emails for Invoices to process or rejections/additional steps from providers, CourtNet pleadings, for records/case information (settlements, dismissals, entry of appearance/substitution of counsel, change of addresses etc.).
    • Process all invoices for the paralegal pool, emails to attorneys for approval of larger amounts, and send payment requests to billing department.
    • Process all records requests for companies requiring use of third-party requesters.
    • Draft authorizations or Notice of Intent (NOI).
    • File NOI with Kentucky Courtnet or Indiana Odyssey portal.
    • Calendar NOI deadlines and follow-ups as needed, uploading/downloading records from records portal, follow-up until records are received, and serve as liaison between third-party requesters regarding status/any issues with request/fee approvals, etc.
    • Draft authorizations as needed and calendar follow-up to ensure receipt.
    • Process mail received in Scanned Documents folder.
    • Cover 1 hour reception lunch.
    • Handles phone calls, meetings, etc.
    • Updating Practice Master re any status change on all requests/invoices.

    Highlighted Requirements:
    • Previous experience as an administrative assistant or clerical support in a professional environment is required.
    • Ability to listen carefully and perform job duties with great attention to detail.
    • Excellent communication skills, phone etiquette and professionalism in demeanor and appearance at all times.
    • Punctuality and ability to meet deadlines.
    • Knowledge and experience with Microsoft Office Suite.
    • Professional references, assessment, and criminal background check contingent on hire.
