- Prepare spaces and rearrange furniture for meetings to include set up/clean up
- Ensure public spaces in the office are kept tidy
- Monitor, procure, organize, and restock supply inventory to include drinks, coffee, snacks, utensils, office supplies, etc.
- Assist with meal orders for breakfast and lunch meetings
- Maintain resource calendars to deconflict meetings and plan/provide adequate setups
- Receive and distribute mail and packages
- Answer and triage incoming phone calls to the main phone line
- Prepare and send written communications such as closures or building notices
- Receive and escort vendors
- Provide tours and orientation briefings
- Track receipts and prepare monthly expense reports
- Assist with shipments via FedEx, UPS, USPS
- Assist with audio/visual meeting set-ups, as needed
- Maintain office seating chart
- Prepare and clean desks when offboarding/onboarding teammates
- Run local errands (e.g., pick up from venues)
- Receive visitors for meetings and interviews
- Work with property management to address facility issues
- Internal event coordination and execution support
- Provide administrative support to Program Director in facilitating tasks and coordination with internal business departments
- Assist other departments, as needed
- Minimum 1 year of experience as an office clerk, administrative assistant, or similar role
- A strong orientation towards customer service-friendly, takes initiative without being asked, and has a desire to assist our team
- Attention to detail and strong organizational skills
- Ability to lift 45 lbs.
- Proficiency with Microsoft Office Suite and Google Workspace (Gmail, Calendar, Forms, Docs, Sheets)
- Excellent written and verbal communication/interpersonal skills
- Excellent critical thinking, decision-making, and conflict-resolution skills
- Hands-on experience with office machines (e.g., copiers/printers/conference systems/scanners)
- Ability to interact and effectively communicate with teammates/customers/vendors
- Willingness to be cross trained in other office support service areas for backup support and assume additional responsibilities/projects when necessary and as appropriate
- Demonstrates ability to manage schedule to conduct daily tasks
- High School Diploma
- Must be a US citizen and locally based in the Northern Virginia area
- Must have own car and be able to travel locally.

The Office Coordinator will also provide administrative support to business leaders. This role reports to the Deputy of Operations for BTI360.
