Job Summary and Qualifications:


The
Office Coordinator, Infusion Center, will be responsible for coordinating the daily office operations for the entire service line to ensure patient satisfaction and efficient office operations.

Includes patient and staff scheduling, payer communication, record keeping, purchasing, and regular communication with the Director of Oncology and staff.


  • You will promote the hospital and department's customer service effort. Provides service excellence to patients and their families, the medical staff and hospital personnel.
  • Provide immediate and satisfactory objective problem resolution for valid complaints/issues.
  • Communicate and collaborate effectively with other departments, physicians, patients and families to encourage and foster actions which meet the patient's needs and to achieve optimal outcomes.
  • Coordinate all patient scheduling activity to maintain and efficient flow of patients through the service line.
  • Utilize lean philosophies to problem solve and improve process efficiencies in line with department strategic plan.
  • Coordinate all office activity, including reception, patient checkin, and maintenance of medical records, correspondence with payers and referrals, telephone and walkin activity, vendor solicitations, and other related issues.
  • Coordinate on revenue cycle activities including insurance verification, resolution of charge errors, and batch rejections.
  • Establish staffing schedule for the office coordinators with guidance form the Director of Oncology to ensure all areas/office tasks are appropriately covered.
  • Support the Director of Oncology with Kronos timekeeping duties and edits and is the primary backup during vacation times.
  • Order all office and medical supplies based on established par levels; maintains proper functioning of the office equipment and coordinates the purchase, maintenance and repair of office equipment.

What qualifications you will need:


  • BA/BS in Healthcare Administration or related field or comparable experience.
  • Five years of relevant physician office experience, preferably in an oncology environment.
  • Thorough knowledge of computer information systems, onsite collections, familiar with Medicare guidelines/regulations, billing and collection techniques, managed care, coding and insurance carrier rules and regulations. Management ability in areas of personnel administration and strong oral and written communication skills.
