The role of a Sales Coordinator is truly the Backbone of the Sales Team and is the link between the Sales Office and the Operations Teams.

The Sales Coordinator position is very self-motivated as it requires the team member to Take Initiative to ensure that all BEOs are correct, Communicate any Follow up information to the Sales Team and Guest, Selling and Booking smaller Market-segment Events, Building Relationships with Community Partners, Building Relationships with Guests within the Venue, and ensuring that events and catering orders are executed correctly.

RequirementsSALES COORDINATION PERFORMANCEObtaining BEO Details within Appropriate Time FrameEnsure that BEOs are detailed by their deadlineBEO Details with Correct Execution InformationEnsure BEOs make sense operationallyApply room capacities, floor plans, etc.

BEO Details with Correct Financial InformationApply room minimums, financial charges, etc.
Maintain Direct Billing clients, and ensure timely paymentEvent ExecutionServes as the main point of contact on designated high volume daysManages assigned events on all aspects including event set up, lead the event huddle, greet the guest, and run point on executionAbility to run and execute multiple events at the same timeHas the ability to assist in any capacity with event and catering executionEnsure all guest concerns are fully addressedExecution of Event and Catering SOPsEnsure that all events are greeted by a member of the sales teamActively spot check FOH and BOH executionCheck room set ups, food presentation, service timingFollow up with team members as necessaryBalancing Event FinancialsEnsure all event financials are correctly balanced daily/weeklyReview/balance Amount Due report weeklyReview Tentative report for locationKNOWLEDGEExhibits Knowledge of Event Packages and Catering OptionsEnsure that explanations and descriptions are accurateUnderstand the various packages and optionsExhibits Knowledge of Venue Capacities and SpaceKnowledge on utilizing SpaceExhibits Knowledge of Sales and ReportingUnderstand the Reports from DOSTIME MANAGEMENTAbility to work Effectively and Manage TimeAbility to work in a high-volume venueAbility to communicate to team members in a timely fashionAbility to communicate to guests in a timely fashionGUEST RELATIONSGuest Engagement Before, during, and after the Booking ProcessHave positive engagements with your guestsMaintain a guest-centered focusPositively interact with guests to retain loyaltyCommunicate with DOS regarding VIP Guests as necessaryTEAMWORKMaintain positive interactions with sales team members and other departmentsExhibit team player attitudeWillingness to assist when necessaryCommunicates effectively with other team membersParticipates in weekly sales team meetingsRelationship with Venue LeadersWork seamlessly with FOH and BOH TeamsToolsEffectively and consistently using the provided tools to perform their responsibilitiesIMAGEFollows the image grooming guidelines that are outlined in the SOP ManualFollows the image attire guidelines that are outlined in the SOP Manual
