    Job Summary

    Under the direction of the Chief Administrative Officer, oversees the records life-cycle including the development of records management policies to control the creation, distribution, use, maintenance, storage, retention and disposition of all records which may include all paper and electronic sources . Serves as the primary liaison between Cook County Government and Illinois State Archives under the Office of the Secretary of State and analyzes legislative and legal requirements affecting records management and recommends new or amended records retention schedules. Performs other duties as assigned.

    THIS POSITION IS ACTIVELY RECRUITED AND AT-WILL.

    Minimum Qualifications

    • Graduation from an accredited college or university with a Bachelor's Degree in Business Administration, Public Administration, Archive Administration, or Records Management.
    • Two (2) years of full-time work experience as an administrator of a Records Management Services Retention program developing systems for the maintenance, retention and disposal of records maintained in various media formats.
    • Two (2) years of full-time work experience managing personnel in a Records Management Services Retention program.
    • Valid driver's license.

    *Degrees awarded outside of the United States with the exception of those awarded in one of the United States' territories and Canada must be credentialed by an approved U.S. credential evaluation service belonging to the National Association of Credential Evaluation Services (NACES) or the Association of International Credential Evaluators (AICE). Original credentialing documents must be presented at time of interview.

    Knowledge, Skills, Abilities and Other Characteristics

    Knowledge of principles of records and information management, administrative processes and systems, cost control, statutory requirements, industry standards, legislative and regulatory analysis, and governmental record keeping requirements. Knowledge of principles and techniques of records and forms management, including all paper and electronic sources. Knowledge of and ability to interpret and apply provisions of Federal, State, and local statutes, ordinances and regulations related to the maintenance, retention and disposition of files and records. Thorough knowledge, understanding and industry best practices of current developments in the Records Management industry through participation in continuing education, research and attending related conferences or seminars. Skill in Microsoft Word and Excel. Ability to communicate effectively with both internal departments and external governmental agencies both in verbal and written formats. Ability to manage employees regarding records management policies and regulations. Ability to analyze and prepare legislation relating to records and forms management.

    This position requires moderate to extensive travel to work assignments throughout Cook County.

    Physical Requirements

    Light Work

    Light Work involves exerting up to 20 pounds of force occasionally or up to 10 pounds of force frequently, or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects. Even though the weight lifted may be only a negligible amount, a job/occupation is rated Light Work when it requires: (1) walking or standing to a significant degree; (2) sitting most of the time while pushing or pulling arm or leg controls; or (3) working at a production rate pace while constantly pushing or pulling materials even though the weight of the materials is negligible.
