***The Executive Administrative Manager (EAM) provides executive support in a one-on-one working relationship with the Executive Director (ED). This position serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the ED; and also serves as a liaison to the Board of Directors and senior management team.


ESSENTIAL RESPONSIBILITIES / FUNCTIONS

Primary job duties and responsibilities:

  • Provide high level support to the ED and provide additional support to senior management team members (as directed) to ensure that SGM goals and objectives are accomplished and that operations run efficiently.
  • Maintain and refine internal processes that support the ED and coordinate internal and external resources to expedite workflows.
  • Manage communication by liaising with internal and external executives on various projects and tasks. Provides a bridge for smooth communication between the ED's office, the Board of Directors and internal departments, demonstrating leadership to maintain credibility, confidentiality, trust and support with senior management.
  • Plan and orchestrate work to ensure that the ED's priorities are met, organizational goals are achieved, and best practices are upheld.
  • Manage professional scheduling for the ED, including agendas, mail, phone calls, client management, and other organization logistics. Plans, coordinates and ensures the ED's schedule is executed and respected; provide "gatekeeper" role.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
  • Receive incoming communication or memos on behalf of ED; reviews content, determines importance, and summarizes and/or distributes content to appropriate staff. Keeps ED well informed of upcoming commitments and responsibilities with appropriate followup.
  • Manage ED and senior management's travel logistics and activities, including accommodations, transportation, and meals.
  • Provide general administrative and office support, such as spreadsheet creation, maintenance of filing system and contacts database, ordering supplies, expense reports and special projects.
  • Research outreach opportunities for impactful community engagement aligned with the needs and goals of SGM's mission.
  • Organize team communications and plan events, both internal and offsite.
  • Maintain professionalism and strict confidentiality with all materials and information.
  • Other duties as assigned.

RELATED DUTIES
This position is part-time at 25 hours a week and requires 5-hour workdays Monday through Friday.


EDUCATION SKILLS & EXPERIENCE

Qualifications:

  • Bachelor's degree in a related field.
  • Minimum of three years of related experience preferably with a nonprofit (such as working in a relatable ministry setting dealing with urban, racial, and justice issues).
  • Excellent written and verbal communication skills.
  • Excellent organizational skills, attention to detail, and multitasking.
  • Ability to work effectively (both independently and collaboratively) with multidepartmental priorities.
  • Strong timemanagement skills with an ability to organize, meet deadlines, and coordinate multiple concurrent projects.
  • Strong interpersonal skills and extremely resourceful
