- High School Diploma, GED or equivalent.
- Valid Driver's License.
- 4 + years of experience providing administrative support preferably in the Construction industry to include material & equipment purchase and filing for city permits.
- Knowledge of administrative and clerical procedures and systems such as word processing, e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level. Proficient in MS Office.
- Excellent attention to detail and problem solving.
- Excellent time management, written and communication skills.
- Strong organizational skills and the ability to multitask in a fast paced environment.
- Excellent problem/conflict resolution skills, ability to handle and diffuse difficult situations and concerns in a positive manner.
- Ability to work effectively in a team environment.
- Familiarity with QuickBooks or similar accounting software is a plus.
- Bi-lingual Spanish/English is a plus.
- Assisting Project Management with follow-ups on purchase orders, material orders, and other correspondence.
- Knowledge and understanding of contractor's estimates, change orders, project closeout and material clearance highly desirable.
- Providing general office assistance, such as ordering supplies, collecting mail, running errands, and handling reception duties.
- Manage electronic project documents: contracts, change orders, invoices, insurance, reports, email communications, O&M manuals, record and as built drawings, etc. and distribute documents to appropriate team members.
- File and organize construction documents, including permits, blueprints, and contracts.
- Answer phone calls and provide excellent phone etiquette, including detailed messages, when communicating with clients, subcontractors, and other stakeholders.
- Conduct internet research on materials, tools and machinery and their availability.
- Identify project material requirements and order them in a timely manner.
- Maintain relationships with suppliers to ensure on-time deliveries and competitive pricing.
- Enter data into reports as needed weekly.
- Write and distribute email, memos and forms
- Heavy hauling & transportation invoicing.

- Salary $18 – $20hr TBD based on experience.

- Mon – Friday 8 am - 5 pm
- Saturdays – as needed
