- Executive Liaison: Act as a primary point of contact between executives and internal/external stakeholders. Foster professional relationships and ensure effective communication on behalf of the executive team.
- Administrative Excellence: Handle a wide range of administrative and clerical tasks to support executive activities. This includes drafting professional correspondence, reports, and documents, maintaining organized files, and managing calendars.
- Travel and Logistics: Coordinate travel arrangements, including flight bookings, hotel accommodations, and itineraries for executives, optimizing their schedules for maximum efficiency.
- Meeting Coordination: Schedule, plan, and organize meetings and appointments for executives. Attend meetings when necessary to record minutes and follow up on action items.
- Communication Management: Manage incoming communication and prioritize correspondence for executives. Summarize and distribute important information, ensuring executives are well-informed and can respond promptly.
- Special Projects: Undertake special projects and research assignments as directed by the executive team, contributing to the achievement of organizational goals.
- Efficiency Enhancement: Identify opportunities to streamline administrative processes and improve efficiency within the executive office.
- Educational Background: High school diploma is required; a bachelor's degree is preferred.
- Experience: A minimum of 2 years of experience in executive administrative assistance or a related role is preferred.
- Technological Proficiency: Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) is essential.
- Communication: Strong written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
- Organizational Skills: Exceptional organizational and time-management skills to handle multiple tasks efficiently.
- Problem-Solving: A proactive and solution-oriented approach to address challenges and seize opportunities.
- Confidentiality: Demonstrated ability to handle sensitive information with discretion and maintain strict confidentiality.
