    Description


    The role of the Administrative Support Specialist supports the ministry of Faith Comes By Hearing (FCBH) by assisting the Oral Bible Translation (OBT) Department to create and implement the use of an oral Bible translation software called Render. The person in this position will assist OBT Administrator, Project Coordinators and others with budgets, reporting, pay plans and help to coordinate project budgets with partner organization. Responsibilities include data entry, financial reconciliation, internal and partner reporting, project support, and overall support to grow OBT work. This position reports to and is located in our Albuquerque office.

    Responsibilities include:

    PRIMARY RESPONSIBILITIES
    • Work with Senior OBT Administrator, project coordinators and partners to review budgets for completeness on all FCBH funded OBT projects.
    • Create and enter monthly pay plans based on budgets.
    • Track travel advances and reconcile expenses vs. receipts on all expense reports submitted.
    • Communicate thoroughly with Senior OBT Administrator, OBT Director and Project Coordinators on budget and financial matters.
    • Assist in creating and maintaining accurate and thorough documentation regarding project budgets and other reporting.
    • Assist in the development of a streamlined budgeting process and approvals.
    • Review accounting fund transfers to ensure funds are being sent as needed.
    • Responsible for timely and accurate submittal of weekly OBT wires to accounting.
    • Work with FCBH Accounting Department and partners to ensure all financial transactions are handled in a timely manner.
    • Responsible for internal and external reporting for purposes including information on project starts and tracking project progress utilizing FCBH's language database. Reports include OBT monthly report, and other external donor financial and narrative reports.
    • Responsible to have a full understanding of FCBH's stated mission for OBT and V2033 and how it is operational through OBT software render, teams, partnerships, and recommend projections for scalability.
    • Support Senior OBT Administrator with up-to-date and accurate language data for high-level presentations, projections, and collaborations in relation to OBT.
    • Prepare monthly OBT updates and update presentations on an as needed basis.
    • Prepare invoices for partners for project funding and other fees.
    ADDITIONAL RESPONSIBILITIES
    • Maintain various systems with OBT information for ministry use in cooperation within other internal departments.
    • Assist in developing and organizing a file management system for the OBT department.
    • Produce periodic reports for OBT partners.
    • Attend meetings with visiting partners when required.
    • Participate in relevant ongoing professional development meetings, workshops etc.
    • Responsible to set up OBT departmental meetings including recurring meetings.
    • Responsible for arrangement of hospitality for OBT departmental meetings and visiting guests.
    • Provide hospitality to guests according to the standards established by FCBH.
    Requirements

    Required:

    • Two years of experience in book-keeping, reporting and ability to handle data to extrapolate analytics.

    • Must love accounting and data analysis.
    • Bachelors or higher degree; or relevant work experience.
    • PC proficiency in all MS Office applications; Excel advanced proficiency level.
    • Experience at extrapolating complicated data and making it digestible to a non-technical audience
    • High emotional intelligence.
    • Open to innovations and improvements.
    • Excellent written and verbal communication skills.
    • Strong interpersonal skills.
    • Well-developed organizational and administrative skills.
    • Demonstrated good judgment, problem-solving and a curiosity to explore possibilities.
    • Ability to travel 2-3 times in a year.
    Preferred:
    • An understanding or experience in cross-cultural work.
    • Experience in backend Bible translation, orality, related to accounting, data management etc.
    • Strong presentation skills, with the ability to present ideas to all levels of management and cross-culturally to various audiences.
