    Description

    Yamaha has an excellent opportunity for a Facilities Coordinator to join our team in Kennesaw, GA. The Facilities Coordinator will provide daily customer service support to all Georgia facilities. The role will also manage all vendor relationships by being primary point of contact to ensure best practices and quality assurance. In addition, the Facilities Coordinator will process and track all invoices for operational and capital expenditures. Lastly, this role will provide administrative support to the facilities manager as well as maintain the facility dude work order system for work order tracking, distribution, and completion.

    What you'll be doing:

    • Responsible for managing all vendor related process such as processing invoices, securing payments, conducting audits, general administrative duties, and serving as main vendor contact for all discrepancies. Administrates contracts, equipment leasing and related paperwork and reporting for all facilities.
    • Track & document all Capital items (AFEs)
    • Responsible as the main point of contact for compliance relationship with Cobb County FM, EPA, Cobb County FD, Cobb county Gov &PD
    • Administrator of SAP & EPM databases for budget control and reports. Maintain process and records for Department budgets, organizational and variance reporting for management as required for all facilities. Support the Facility Manager during the budget creation.
    • Provide overall department administrative support and coordination assisting Facility Manager and Department with daily activities and operations such as inventory management, being a second point of contact for building/card access & cameras, etc
    • Serve as point of contact for Facilitydude (FD), create maintenance schedules within FD, distribute workorders, and provide follow up to customers upon completion of work.
    • Create and maintain customer satisfaction survey for Yamaha business groups and recommend corrective measures if needed.
    • Administrate facility management software regarding asset management, preventive maintenance and resource management for multiple facilities.
    • Co-Chair safety committee with the facilities manager
    • Provide communications to Yamaha business groups through quarterly newsletters or other types of mass communications
    • Perform other duties as assigned.

    What you need to be successful:

    • High School Diploma or GED equivalent required
    • 5+ years of general administrative experience
    • Excellent organizational and communication skills as well as attention to detail
    • Excellent ability to manage time and projects
    • Strong relationship building and relationship management skills
    • Experience with SAP and OpenInvoice highly desired
    • Experience with Microsoft Office Suite (Excel, Outlook, Teams, etc)
    • Excellent multi-tasking ability
