    SUMMARY
    Performs highly diverse secretarial, administrative tasks and in some instances, requires operational knowledge. This position requires a significant amount of judgment and knowledge of all bank procedures.

    Requires a high level of tact, communication skills and an extreme level of confidentiality due to the frequency and level of internal and external contacts.


    EDUCATION AND EXPERIENCE REQUIREMENTS

    • High school diploma; two-year degree preferred
    • Secretarial/administrative experience
    • Minimum one-year experience in an office environment
    • Previous banking experience preferred
    • Excellent keyboarding and communication skills
    • Proper security clearance to handle sensitive documents or other communications
    • Proficient in Microsoft Office programs
    • Good knowledge of bank operations
    • Participate in all required compliance training, including Bank Secrecy Act/anti-money laundering training, as well as internal and external training programs, online training, meetings, and seminars/conferences, etc.

    JOB FUNCTIONS

    • Manage the office area of the CEO, serving as administrator, secretary and receptionist. Exercising tact, judgment, initiative and acquired knowledge of the bank's functional organization. Also, screen visitors to determine those who can be handled by subordinate officers and staff.
    • Answer the telephone and accept or furnish information. Refer callers to other staff members as determined to be appropriate, take messages and make tentative appointments as necessary.
    • Maintain President's calendar and remind president of scheduled appointments and meetings. Ensure that meeting participants are informed of dates and times and have all necessary information, documents, etc.
    • Perform a wide variety of keyboarding tasks that require a high level of proficiency and knowledge of generally accepted format principles
    • Compose and reply to standard letters of inquiries in the absence of the President or other bank officers
    • Contact individuals in the bank or at other companies to give or obtain information, often of a confidential nature.
    • May serve as the purchasing contact for office supplies, etc.
    In addition to Specific Job Functions listed above, Executive Assistant will have additional responsibility in the areas listed below. The responsibility areas may be based on location/market needs and/or skill and knowledge requirements necessary for the position.


    Loan Operations:

    • Assembles and verifies accuracy of loan documentation for Bank President
    • Assist with loan customers to insure that loans documents have proper signatures, dates and other relevant data
    • Orders appraisals, credit reports, background check, reference checks and other information as needed on loan applications
    • Answers phone and written inquiries concerning loan information

    Customer Service Representative:

    • Provide personalized service to depositors including checking, savings, and certificate accounts
    • Provide account advice, including resolution suggestions and other information, to customers as needed
    • Provide customers with account information and updates as requested
    • Thorough knowledge of Individual Retirement Accounts
    • Renew existing certificates of deposit and Individual Retirement Accounts that have matured

    SUPERVISORY RESPONSIBILITY
    This position does not have any direct reports.

    POSITION TYPE
    This is a full-time position that requires schedule flexibility to work evenings and weekends as needed.


    TRAVEL
    This position requires up to 5% travel.
