What You'll DoThis position presents an exciting opportunity in support of our grant/funding management projects.
This role will provide program implementation guidance and oversight to partners in the field to support the effective administration of program funding.
The Specialist will be responsible for administrative work in relation to updating resources for new programs, establishing contracts and subgrants, processing invoices and performing report analysis, and capturing lessons and successes that can be shared internally and externally throughout the California workforce development and education systems.
Provide administrative support for assigned grantees and projects.Leads grantee contracting, subgrant, and grant timeline management efforts.
Partners with grantees and internal partners to finalize contract and subgrant agreements including engaging in exhibit revisions, documentation gathering and processing, and tracking to ensure timelines are met.
Monitors grantee fiscal performance and spend down. Tracks all expenditures, processes invoices, runs and analyzes expenditure reports in Salesforce.Identifies and analyzes any spending or performance issues or data discrepancies and makes recommendations to resolve issues.
Leads all program reporting and grant management activities for assigned grantees and projects.
Provides reporting guidance and direction for grantees.
Partners with the technical assistance team to identify, capture, and raise effective practices and successes.
Provides specialized guidance for grantees who are struggling to meet their reporting timelines. Identifies barriers and troubleshoot issues to determine solutions.
Presents findings, inquiries, and grantee questions to the management and technical assistance team.
Attributes for Success
Strong project management skills with an ability to prioritize tasks and deliver quality products within agreed upon timeframes, with limited supervision.
Strong written communication skills with ability to tailor communications to a variety of internal and external audiences in appropriate formats.
Ability to research, analyze, synthesize, and communicate complex topics to a variety of audiences, in a variety of formats (e.g., toolkits, reports, graphic displays, presentations).
Ability to manage multiple projects and clients with competing interests and needs.Relevant BA/BS, equivalent work experience, or a combination of both.
Minimum of three to five years of related work experience.
Minimum of two (2) + years of experience in an education or non-profit environment preferred.
Fundamental knowledge of workforce development concepts preferred.
Demonstrated writing and presentation skills required.
Experience with project and client management software desired, e.g., Salesforce, Workday. etc.)
High proficiency with Microsoft Office Suite and experience with Excel required.
