Description

The mission of The Ashe Center is to support UCLA students in the successful attainment of their educational goals through the personalized delivery of accessible, high-quality health and wellness services, rendered with kindness and competence, by diligent, dedicated professionals.

Under the supervision of the Rehab Unit Supervisor or designee, the Rehab Unit Administrative Assistant performs primary office administrative responsibilities for the unit which consists of physical therapy and acupuncture departments.

The position involves interfacing with patients and clinicians 100% of the time either directly or via phone.

Primary responsibilities include managing clinical schedules for clinicians within the unit, handling patient inquiries, and supervising support staff of 10 student workers.

Major duties include utilizing/maintaining an efficient appointments system; routing patients into the patient flow system; determining eligibility to use SHS services; assisting as a trained medical chaperone as needed, facilitating patient/clinician communication; maintaining accurate and timely logs of patient communications; timely completion of administrative tasks related to billing; creation of weekly schedule of student workers to assist clinicians in the provision of physical therapy services; maintaining appropriate stock levels of supplies within the unit; organization and upkeep of a clean and safe working space; and performing clerical duties for the unit as needed.

The incumbent also anticipates, prepares for, and provides assistance for assigned clinicians and clinics following departmental and clinic procedures and policies.

The Rehab Unit Administrative Assistant may also be asked to assist in general and specialized patient care in the physical therapy clinic.

This includes instruction, motivation, and safeguarding or assisting patients practicing exercises or functional activities, under the direct supervision of the physical therapist.

Qualifications

  • 1 year Personal or professional experience with the performance and/or instruction of basic strength and flexibility exercises. (preferred)
  • Ability to work independently and follow through on assignments with mínimal direction. (required)
  • Skill in using a PC, and knowledge of software such as MS Office: Word, Excel, PowerPoint, and Outlook. (required)
  • Communication skills (written, verbal) to convey accurate information to individuals at all levels of the organization & with persons of various social, cultural, and economic backgrounds. (required)
  • Ability to handle confidential and sensitive information appropriately. (required)
  • Detailed knowledge of patient rights and responsibilities, rules of confidentiality and informed consent proper handling of medical records, and pertinent laws governing these. (required)
  • Skill in mitigating potential scheduling conflicts. (required)
  • Skill in recognizing emergency situations and taking appropriate action. (required)
  • Organizational skills to prioritize work when faced with competing requirements, and interruptions to meet deadlines. (required)
  • Skill in performing effectively with frequent interruptions and distractions, and a fluctuating workload. (required)
  • Ability to learn and adapt to new and changing information related to organizational policies and procedures. (required)
  • Personal body awareness and knowledge of basic human anatomy conducive to the appropriately demonstration of strength and flexibility exercises to patients under the supervision of the physical therapist. (preferred)
