    Job Summary

    The SJ Quinney College of Law Conference & Events department's mission is to ensure our in-person, hybrid, and virtual meetings and events run smoothly, look amazing, and exceed the goals that are set for each event.

    Assists with planning, implementation, and overseeing all needed arrangements, including supervision of staff, for special events in assigned departments and venues.

    Interface with all necessary departments, supervise and facilitate events, resolve conflicts, assign needed space, builds community and fosters good relationships.

    The right candidate needs to be able to work quickly and accurately, have fun, and at the same time know when it is time to get down to "business".

    Be professional, tech-savvy (or willing to learn), adaptable, very self-motivated, and comfortable collaborating with a team.
    Responsibilities

    Direct/Manage/Supervise/Plan on-site and/or virtual events such as workshops or seminars, full-scale conferences, virtual conferences, trade shows, webinars/webcasts, and other events.

    Provides on-site presence and support for in-person and hybrid events, to ensure coordination of all aspects of the event.
    Develop event marketing strategies and communication plans to ensure positive results and ensure strategy is consistent.

    Assists with facilitating, forecasting, planning, implementing policies and procedures in the areas of event management, customer service, staff management and budgetary goals and objectives that are consistent with University of Utah's policies.

    Hires, trains, implements work direction and supervises event management and support staff. Manages the activities of supervisors and/or individual contributors.
    Oversee the development of processes for repeatability and scalability of events.

    Maintains fiscal responsibility for event activities, including purchasing, reimbursements/payments, invoicing, budget/expense reports, and purchasing card reconciliations in a timely and efficient manner to ensure compliance with federal guidelines, and University of Utah policies and procedures.

    Review post event analysis of College of Law events, budget recaps, and feedback, and incorporate into future event plans.
    Provides administrative support; may negotiate contracts with conference sites, hotels, and outside vendors.

    Will regularly work a varied schedule, including early mornings, evenings, and weekends – schedule is dependent on when our meetings and events are calendared.

    Problem Solving
    Demonstrated leadership skills, critical thinking, problem solving, and decision making skills are essential to the position. Ability to oversee multiple projects/events and work assignments for a variety of staff, volunteers, and subcontractors.
    Minimum Qualifications

    Requires a Bachelor's degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) and 3 years of progressively more responsible events coordination experience.

    Demonstrated human relations and effective communication skills required.

    A related field may include but is not limited to:
    Business, Communications, Hotel / Hospitality Management, Sports Management and Public Relations.
    Demonstrated leadership skills in planning and supervising employees and processes.

    The candidate must be available to work varying days of the week and shifts, which includes night and weekend shifts.

    Special Instructions Summary

    The University is a participating employer with Utah Retirement Systems ("URS").
