    Summary of Functions


    Responsible for overseeing field office and site supplies, supporting Project Managers and Construction Managers with administrative tasks, such as project submittals, welcoming visitors, handling incoming/outgoing mail and express packages, and performing general office duties.

    Essential Duties and Responsibilities


    • Embrace Forgen's Core Values throughout all job aspects.
    • Welcome visitors in a courteous and professional manner; document all visits using sign-in sheet.
    • Receive and organize incoming items like receipts, mail, and courier deliveries; distribute mail internally.
    • Efficiently manage and update detailed spreadsheets to track and report materials inventory, ensuring accuracy and availability in real-time.
    • Maintain an organized spreadsheet as a comprehensive inventory repository, aiding streamlined procurement and inventory management.
    • Record fuel receipts accurately using a structured tracking system, ensuring financial records precision and compliance.
    • Input data correctly into ADP software for precise and efficient payroll processing and record-keeping.
    • Manage timecard entries effectively, maintaining precise records of employee work hours for accurate and timely payroll processing.
    • Keep an updated Excel sheet to monitor incoming materials and related costs, maintaining accurate and current expense records for project deliveries and inventory.
    • Prepare and dispatch outgoing mail and express packages daily; manage, check, and replenish postage meter; coordinate courier services.
    • Procure and manage field office and site supplies.
    • Check and distribute incoming email requests from site Info email box, when applicable.
    • Arrange and manage travel arrangements for employees/interviewees; oversee travel expenses.
    • Type memorandums, letters, and other necessary documents as requested by management.
    • Assist in preparing project submittals, including clerical revisions as directed by the Project Manager.
    • Maintain office and filing/storage areas organized and tidy; keep track of document locations/stock.
    • Organize site events, crew lunches, meetings, etc.
    • Execute additional assignments and special projects as instructed.
    Experience/Education


    • High school diploma/GED or equivalent.
    • Minimum three to five years of experience in an administrative role.
    • Valid Driver's License and ability to drive for company purposes.

    Physical Demands

    The following activities or capabilities are typically associated with this role, but requirements may vary:


    • Effective communication with vendors, management, and colleagues, both individually and in group settings is crucial.
    • Regular use of telephone and email for communication is essential.
    • Sitting for extended periods is common.
    • No heavy lifting is anticipated. Occasional exertion of up to 25 pounds may be necessary.
    • Good manual dexterity for operating office equipment like computers, calculators, copiers, and fax machines.
    • Strong reasoning ability and decision-making skills are important.
    • Understanding and utilizing management reports, memos, and other documents for business purposes.
    Mainly an office role. Occasional visits to project and field sites may be required. Travel to various locations as needed. The following activities are commonly associated with site visits.


    • Stand or walk on project sites for extended periods.
    • Adhere to all required Personal Protective Equipment (PPE) when on project sites or performing certain tasks, including earplugs, protective eyewear, gloves, hard hat, steel-toed work boots, and high-visibility safety apparel.
    Work Environment

    The position is primarily indoors in an office setting and occasionally outdoors at construction sites.

    The following working conditions are commonly associated with this role, but may vary:


    • Job Site environment, including machinery, tools, heavy equipment, chemicals, solvents, dust, and fumes.
    • Occasional exposure to extreme weather conditions.
    • Uneven ground.
