    This work involves difficult administrative and clerical duties to assist the Mayor and council members with the routine and operational details of government.

    Job responsibilities include independent preparation of detailed reports, correspondence and documents. Considerable public contact is necessary requiring tact and courtesy of the highest degree.

    Telephone and in-person inquiries are frequent, requiring the ability to provide information or handle requests in a highly professional manner.

    The employee must utilize independent judgment and initiative in completing assignments and in resolving minor operational problems. A majority of the assignments are received through conferences and written instruction. Work is reviewed by observation of results achieved.

    Essential Job FunctionsActs as administrative aide to the mayor and council members; Reviews incoming mail and refers important correspondence to appropriate council member or the mayor;Meets government officials on all levels; Previews and reviews video and/or audio cassettes of council meetings; prepares refreshments' for programs and meetings;Photocopies necessary correspondence and documents; Files office correspondence and records.

    Prepares appropriate replies to some correspondence independently or as directed by mayor or council members;Disseminates information to the public regarding City procedures and policies;Schedules appointments and maintains calendar for mayor and council membersProcesses confidential matters;Researches difficult inquiries and refers to mayor or council member (s), if necessary;Determines proper distribution and disposition of notices, memoranda;Collects information and prepares reports on assignments from the mayor or council members;Attends and/or represents mayor and council at community and homeowner meetings and prepares meeting summaries;Provides intra- and inter-governmental liaison services for residents and property owners;Handles mechanics of planning meetings;Acts as receptionist for mayor/council office;Answers telephone calls and inquiries from, residents' business owners, as well as other government officials and professional staff and the general public;Performs related work as required.

    Minimum RequirementsMust be in possession of a Associate's degree with a major in Public Administration, Business Administration or a related field;A minimum of two years public contact work experience in the public or private sector;A valid Florida driver's license.

    SkillsAbility to accomplish assignments delegated through written and/or oral directions;Ability to type reports, correspondence and documents in a timely yet proficient manner;Ability to plan one's own work program with minimal supervision thorough knowledge of administrative procedures related to municipal government;Ability to deal tactfully, courteously and patiently with the public;Ability to speak distinctly and listen carefully to communicate with people;Basic working knowledge of computer, word-processing and spreadsheet skills;Ability to keep accurate records;Ability to make minor decisions in accordance with office procedures, ordinances and departmental rules.

    Ability to handle stress.
