Fulton Schools of Engineering is seeking an Academic Personnel Specialist to perform work of considerable responsibility in supporting administrative services.


This position will report to the Executive Administrative Support Specialist within the School of Biological and Health Systems Engineering within the Ira A.

Fulton Schools of Engineering on the Tempe campus.

Essential Duties

  • Supports, crosstrains and serves as a backup for managing faculty academic personnel actions within a unit through the various university platforms, including faculty promotion and tenure, sabbatical reviews, evaluation of probationary faculty and academic professionals, annual evaluations of faculty, and evaluation of conditional contracts.
  • Supports, crosstrains and serves as backup for the management of faculty recruitment processes.
  • Serves as a unit contact and part of the unit implementation team for Interfolio Faculty Information System (Faculty Search, Faculty 180 [ASU Vita] and Review, Promotion & Tenure).
  • Supports reviewing, processing, and tracking faculty retirements, resignations, and emeritus status requests. Reviews retirement agreements for director approval.
  • Interprets university and Board of Regents policy pertaining to faculty and academic professionals.
  • Manages and maintains the director's calendar. Coordinates and arranges meetings to ensure optimal use of time.
  • Manages and maintains the director's travel authorizations, travel claims, and on
- and off-campus meetings. Compiles, prepares, completes, submits, and maintains background materials.

  • Coordinates, in conjunction with appropriate planning committees, large school meetings, workshops, and events of a complex, multifaceted nature. Responsible for all logístical planning, communication with service providers, travel arrangements for speakers/presenters, and payment/reimbursement processing.
  • Assists with reports and communication with faculty and university academic support staff.
  • Participates in meetings and conferences pertinent to area of responsibility.
  • Answers phones, greets visitors, and directs questions to appropriate offices for resolution.
  • Performs special assignments as requested by senior leadership or supervisor.

Minimum Qualifications


Bachelor's degree and four (4) years administrative support experience; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with faculty personnel actions (promotion and tenure, probationary reviews, posttenure reviews, sabbatical leaves).
  • Experience with the faculty recruitment process.
  • Experience using Interfolio products and implementation (Faculty Search, Faculty 180 [ASU Vita], and Review, Promotion, and Tenure).
  • Experience directly supporting an administrator, preferably in a higher education environment.
  • Demonstrate knowledge of travel authorizations and reimbursements, i.e., Concur.
  • Experience coordinating events.
  • Knowledge of the principles of exemplary customer service demonstrated through actively listening, acknowledging, and responding to every inquiry.
  • Demonstrated experience working in higher education and knowledge of University policies and procedures with an emphasis on academic personnel.

Working Environment

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
