- Manage overall administrative activities for the firm
- Responsible for the day-to-day facilities operations including supervising the maintenance and alteration of office areas and equipment such as the layout, arrangement, and housekeeping of office facilities; purchasing office supplies, furniture, office equipment, etc. for the entire staff
- Recruit, interview, and select employees
- Assist attorneys and paralegals with related activities in an accurate and timely manner
- Supervise the work of administrative and paralegal employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems
- Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes
- Implement firm policies, procedures, and service standards.
- Discuss job performance problems with employees to identify causes and issues and to work on resolving problems
- Train or instruct employees in job duties and firm policies, and arrange for training to be provided
- Evaluate employees' job performance and conformance to regulations and recommend appropriate personnel action
- Review records or reports pertaining to activities such as production, payroll, or shipping to verify details, monitor work activities, or evaluate performance
- Interpret and communicate work procedures and firm policies to staff
- Maintain records pertaining to inventory, personnel, orders, supplies, or machine maintenance
- Research, compile, and prepare reports, manuals, correspondence, or other information required by management or governmental agencies
- Develop or update procedures, policies, or standards
- Make recommendations to management concerning such issues as staffing decisions or procedural changes
- Participate and supervise in a wide range of firm projects and events
- Perform administrative work such as typing, filing, sorting, and distributing mail; assist with the preparation of correspondence to clients
- Perform other duties as required
- Bachelor's degree preferred
- Previous experience as an office manager; supervisory experience is a plus
- Strong computer and internet skills including all MS Office Suite (Word, Excel, Outlook, PowerPoint) required
- Experience with payroll software a plus; familiarity with administration of 401k plans, medical/dental insurance, COBRA, ERISA, FMLA, and related state and federal regulations a plus
- Experience with Quickbooks and ability to manage basic accounting
- Must be a self-starter with excellent interpersonal and communication skills with a talent for customer service
- Must be efficient with strong attention to detail
- Must have strong customer support orientation (internal and external), demonstrated professional demeanor, and the ability to maintain confidential information
- Must have strong skills in organization and planning, demonstrated ability to work independently, and exercise sound judgment and problem solving
- Must have proven ability to manage projects and prioritize tasks
- Must have excellent presentation skills
