    The role:


    Join our team as an operations assistant, where you will support the division program managers with grant paperwork, grantee compliance issues and training, report creation and tracking and more Our office is responsible for monitoring the safety of transportation in Oregon through education and awareness.

    Your support will be an integral part of TSO to achieve its mission of eliminating traffic fatalities and series injuries on Oregon roadways.

    A day in the life:

    • Coordinate and perform administrative duties for the assistant office manager.
    • Develop forms, procedures, guidelines, and notifications to enhance the grant programs.
    • Ensure timely submission of vehicle mileage logs, asset inventory tracking and other periodic reports.
    • Provide program support for 17 program managers by scheduling meetings/events, conference and training planning and other activity coordination.
    • Distribute information to grantees, program managers other partners.
    • Provide administrative support in review of grantee required grant paperwork for accuracy and adherence to federal and state rules and regulations.
    • Attend and provide advisory committee meeting support, scheduling, information distribution and more.

    Minimum qualifications:
    Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data;

    OR

    An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data;

    OR

    An equivalent combination of education and experience.


    Special qualifications:
    Driving is an essential function of this position. You must have a valid driver license and an acceptable driving record. We will conduct pre-employment driving records checks on our final candidate(s). Your license does not have to be issued in Oregon to be considered.

    • Experience in development and maintenance of office forms, procedures, guidelines, notifications to staff and partner agencies.
    • Excellent communication and writing skills with business acumen for reports, memos, invitations, agendas, meeting minutes, instructions, emails, etc.
    • Experience assisting management with ordering and inventory tracking of materials.
    • Ability to analyze information and translate it into an understandable, readable format to distribute to appropriate audiences.
    • Excellent independent judgement and organizational skills in relation to time management, document management, compiling information and coordinating responses and deadlines.
    • Strong understanding and proficiency in Microsoft Office programs such as Word and Excel.
