    Foresite Group is seeking qualified, energetic, and trustworthy candidates for a full time office assistant position for our Dallas, Texas office. This position is vital to the success of the company as it personifies the first impressions of the firm. Candidates must be courteous, welcoming, and professional. They must demonstrate high levels of motivation, flexibility, and positivity.

    SOFTWARE/EQUIPMENT
    • Microsoft Office (Word, Excel, PowerPoint, Outlook)
    • Capable of operating office hardware (printers, copiers, scanners)
    RESPONSIBILITIES

    Reception Duties:
    • Welcome, greet, and assist all visitors and clients
    • Answer phones and transfer calls to the appropriate associates companywide
    • Coordinate schedules for phone coverage during lunch, illness, and vacation periods.
    • Take and deliver messages as needed
    • Handle questions about the business
    • Maintain a pleasant appearance of the reception area and general office areas
    • Perform daily disinfecting/cleaning of high-touch surfaces throughout the office
    • Maintain visitor log; ensure compliance with completing required symptom screening for employees and visitors
    • Assist with scheduling, managing appointments, and updating shared calendars as needed
    • Accept and sign for packages and distribute mail
    • Create FedEx shipments and arrange courier services
    • Provide general project support as needed
    • Handle company vehicle maintenance and tracking
    Office Administration:
    • Manage office inventory and establish purchasing and tracking procedures for tangible office supplies, services, and materials for multiple locations
    • Research and recommend the procurement of and arrange for maintenance of various types of office equipment for multiple locations
    • Act as liaison to property management to receive and deliver location specific information for various offices
    • Coordinate with external building and facilities managers to submit standard and non-standard maintenance requests, including requests for janitorial services
    • Send location-specific information to employees
    • Assist with setup/coordination of new office locations
    General Admin Support:
    • Assist with preparation of various documents, forms and presentations
    • Assist with setup and preparation of workspace for new hires
    • Assist with organization and scheduling of company events
    Hours: Monday - Thursday 8:00am - 5:30pm; Friday 8:00am - 3:00pm

    Position Requirements

    QUALIFICATIONS
    Must be authorized to work in the U.S.

    EDUCATION
    High School Diploma (or equivalent)

    EXPERIENCE
    2 -5 years of professional office work experience in a customer service or administrative support role of varying responsibilities

    CERTIFICATIONS
    Valid Driver's License required
