    Description

    Primarily responsible for the Accounts Receivable function at Miller Campus, pertaining to the Business Development Resources, Corporate Solutions, Institute of Public Safety and Department of Continuing Education.

    Receive invoice requests, prepare and send out invoices including interdepartmental billings.

    Follow up that invoices are paid on a timely basis and coordinate with the College Accounts Receivable Department for collections assistance according to established college policies and procedures.

    Identify and resolve invoice issues and resolve billing inaccuracies.

    Prepare invoice aging reports and other statistical and financial reports for management, retrieve and process receipts from campus service machinery for facilities department.

    Act as a limited check draft custodian and see that all such checks are properly accounted and posted to the accounting system.

    Interfaces with College computer information systems or other specialized software programs. Provide excellent customer service to both internal and external clients and answer more complex queries or questions. Serve as the backup for cashier for money pick up, safe access. Draw other financial reports for supervisor. Serve as the office manager for the Miller Professional Development Office and Miller Finance office. Office administrative duties include ordering office supplies, making purchases using the College P-card, mail distribution and other related duties.

    Essential Responsibilities and Duties

    Organize and maintain an efficient Accounts Receivable operation following established College guidelines, internal controls and processes. Verify, and determine payment schedule of all self support programs . Prepare and disburse accurate and audit supported billing invoices, including interdepartmental billings.


    Monitor A/R balances and perform follow up collection activities to ensure payments are collected and accounted for on a timely basis.

    Reconcile A/R detail reports to the College accounting system and resolve any differences.

    Prepare monthly reports regarding receivables for management. Coordinate collection activities with the College's centralized

    Accounts Receivable Department when involving outside collection agencies.

    Office administration duties such as ordering office supplies, restocking shelves, gathering and distribution of mail.

    Draw Banner reports on a bi- monthly basis for backup and analysis by Accountant/supervisor and management.

    Other duties as assigned.

    Essential Responsibilities and Duties Continued Minimum Qualifications

    Must have one of the following:
    High School Diploma or GED plus four (4) years of direct, paid, full-time experience.

    or

    Associate degree in a Business related major plus two (2) years of direct, paid, full-time experience.


    Note:
    Work experience and education may be substituted on a 1:1 basis.

    Part-time experience may be considered on a prorated basis.

    Preferred Qualifications

    Accounting degree is preferred.

    Direct accounts receivable/collections work experience is preferred.

    Knowledge of EMS is preferred.

    Knowledge, Skills & Abilities

    Have knowledge of Administrative software used in a community college environment.

    Proficient in Microsoft Office Suite and, QuickBooks, EMS, and electronic e-mail software.

    Knowledge of accounting principles and practices. Knowledge of college policies and procedures.

    Ability to adapt to the varied nature of business in the self support areas, preferably with private business experience.

    Have excellent customer service skills and proficient in relating and communicating with a variety of people.

    Be able to follow written and oral instructions effectively.

    Have excellent knowledge of business English, math, writing, spelling, punctuation and vocabulary.


    Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.


    Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
