    Job Title : Administrative Assistant
    Status : Full-time, 40 hours per week
    Starting offers : $19-21
    UServeUtah is seeking an Administrative Assistant to coordinate specialized agency office functions or activities and to provide administrative support to management and staff. In this position, the candidate must perform a wide variety of administrative support duties ranging from general financial and clerical support to complex administrative coordination.

    Example of Duties

  • Assist the Director with a variety of administrative duties such as travel preparation and reimbursement and ordering supplies
  • Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, clients or customers
  • Receives main line incoming calls, email, and/or greets visitors, takes and relays messages, responds to requests for information; provides information or directs caller/visitor to appropriate individual
  • Coordinates and/or acts as a liaison with other agencies, organizations, suppliers, etc.
  • Schedules meetings and prepares materials, takes minutes; maintains office calendar
  • Sorts and distributes incoming and outgoing U.S. and interoffice mail
  • Prepares and/or processes documents; reviews for accuracy and completeness; updates information and/or evaluates against policy; compares elements for consistency or logical relationships, etc.
  • Writes or drafts correspondence, reports, documents and/or other written materials
  • Maintains internal records, contracts, reports; travel and fiscal payment processing
  • Maintains adequate inventory and organization of office, printer, and copy machine supplies
  • Assists with event registration; schedules event meeting space and manages event logistics, assists staff in preparing all collateral materials, seek donations for specific events; involved in location, food, transportation, and presentation arrangements
  • Performs other duties as assigned
  • Qualifications, Skills & Abilities
  • This is a professional position requiring knowledge and experience in the areas of administrative support, office management, event coordination, and the ability to work in a team environment. A minimum of two years' experience in an administrative position.
  • Knowledge of principles, practices and procedures of an office environment
  • Intermediate to advanced skills in Microsoft Office Products such as Word, Excel and PowerPoint
  • Skill and ability to use other computer software programs such Google products
  • Ability to self-direct, take initiative, plan, organize and prioritize time and workload to accomplish tasks and meet deadlines
  • Excellent written and oral communication skills
  • Strong organizational skills; detail-oriented; skill and ability to establish, organize and/or maintain files; find, gather and collect information or data
  • Ability to deal with people in a manner which shows sensitivity, tact, and professionalism
  • Work Location
    This position may be eligible for a hybrid in-office and telework schedule after an initial training period or several weeks of in-office training during the onboarding period . Our office is located 3760 S. Highland Dr., Millcreek, UT A position's eligibility for remote work is established by agency management and is subject to change at their discretion at any time and for any reason. Note: Under Administrative Rule R13-4 all work must be performed within the State of Utah. As such employees should either reside in Utah or be in the process of relocating to within 30 days of their start date.
