    Starting Salary $45,000-$48,000 -based on experience

    Position Overview: The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. The Office Manager reports to the Contracts and Compliance Analyst and is responsible for providing office management services to the State Office of Pace Center for Girls, Inc.

    Role and Responsibilities

    Maintain Office Efficiency
    • Manages the reception area to receive guest and visitors, ensure effective telephone and mail communications both internally and externally and to maintain a professional image.
    • Organize and maintains all aspects of the state office common area including furniture and equipment as well as housekeeping of the facility.
    • Coordinate the purchase of office supplies, office equipment for State staff in accordance with Pace purchasing policies.
    • Manages maintenance of office equipment including but not limited to the copier, mail machine, etc.
    • Provide data entry for procurement officer and program services as needed.
    • Daily Car Duty
    Maintain Office Records
    • Assist with defining procedures for record retention.
    • Coordinate and maintain statewide record storage.
    • Ensure protection and security of all on-site files, records and storage devices.
    • Ensure effective transfer of all files and records to off-site storage according to Pace record retention policy.
    • Transfer and dispose records according to retention schedules and policies.
    Compliance Operation
    • Assist compliance jr. analyst with documentation and tracking.
    • Assist Accountant with invoicing tracking.
    • Assist Admin. Assistance with contract database.
    Qualifications and Education Requirements

    Required
    • Associates Degree
    • Minimum 3 years of experience in Office Administration.
    • In depth knowledge of office machines including: copier, mail machines, fax, ect.
    • Proficient in the use of Microsoft Office components with detail knowledge of Excel and Word.
    • Advanced analytical and critical thinking skills; strong written, oral and interpersonal communication skills with ability to work effectively with a wide range of management, staff and external vendors; strong computer and internet research skills.
    Other Requirements
    • Must adhere to Agency Values and Principles.
    • Upholds the ethical standards of the Agency and 6B-1.001 Code of Ethics of the Education Profession in Florida.
    • Follows policies and procedures of the Agency
    • Must work evenings and weekends as required to fulfill workload requirements.
    • Must be able to travel by automobile, plane, train, etc.; occasional overnight travel may be required
    Preferred
    • Degree in Administration

    Work Environment: The work environment characteristics can be stressful, is fast-paced and requires alertness and flexibility. The noise level is usually quiet; however, noise can accelerate to moderate and high levels.
